This role is responsible for managing and optimizing the scheduling platform to improve efficiency, productivity, and customer satisfaction. By working closely with cross-functional teams to understand scheduling needs and requirements, this role configures and customizes the platform to meet business needs while providing ongoing support and optimization to ensure smooth operation.
Responsibilities
- Leads the implementation of the scheduling platform across the organization, including account setup, configuration, and integration with other systems and tools.
- Customizes platform to meet the specific scheduling requirements of different teams and departments, including configuring availability, appointment types, and meeting workflows.
- Integrates platform with other platforms and tools used across the organization, such as CRM systems, email marketing platforms, and collaboration tools.
- Provides training and support to users across the organization to ensure that they are proficient in using the scheduling platform and leveraging its capabilities effectively.
- Develops and implements data management strategies within the platform to ensure the accuracy, integrity, and security of scheduling data.
- Identifies opportunities to automate scheduling processes and optimize the platform configurations to improve efficiency and productivity.
- Monitors performance of platform usage, track key metrics such as booking rates and appointment volume, and generate reports to provide insights and recommendations for improvement.
- Stays informed about new features and updates to the Calendly platform, and evaluate their potential impact on our operations and scheduling processes.
Who We’re Looking For
- Bachelor’s degree in marketing, business, information technology, or related field (or international equivalent) or equivalent experience, required.
- 2+ years of related experience, required.
- 5+ years of related experience, preferred.
- Industry knowledge with an understanding of best practices and processes related to the configuration, deployment, integration, management, and maintenance of systems and/or platforms.
- Technical acumen with an understanding of a platform’s capabilities, limitations, and configuration options along with the ability to translate scheduling requirements into technical solutions.
- Interpersonal and communication skills, both written and verbal, with the ability to build and foster strong working relationships with key stakeholders across the business.
- Project management skills with the ability to effectively manage multiple priorities with competing deadlines or conflicting demands, adapting to change in work or procedure as needed.
- Skilled in analytical and strategic thinking with the ability to use logic and reasoning to identify strengths/weaknesses of alternative solutions, analyze costs and benefits, evaluate options, and implement solutions while managing resources appropriately.
- Technical skills with the ability to utilize industry related systems and tools.
- Ability to travel less than 5% of the time.
- Must be 18 years of age or older.
- Must successfully complete pre-employment screening process, as required.
- Must successfully complete any required training or orientation courses, as needed.
