Position Overview: Administrative Assistant
Position Status: Permanent/ Full Time (In-Person)
Reporting Relationships: Managing Partner /Managing Paralegal
Expected hours of work: 8:30 AM-5:30PM
Expected Salary Range: $23-25 per hour (plus opportunity for monthly bonus)

Role
You are a passionate, high-energy, self-driven individual providing administrative support for attorneys in the Family Law field.
Customer service is an area in which you particularly shine, and you enjoy communicating with and supporting people, no matter what the ask. You relish getting things done, and are a problem solver.
Passionate, compassionate enthusiastic, and motivated by success, a key focus of this role will be to ensure the client’s needs are being addressed and ensuring that clients’ cases are moving smoothly from beginning to end.
Responsibilities
The focus of this position consists of the following areas:
1. Office Support
Answering calls
· Ensure client calls are answered and returned in a timely manner
· Ensured client calls are accurately recorded into Case Management system
· Rescheduling client meetings and appointments with Attorneys, as needed
Opening mail
Printing documents for court
Scanning
Shredding
Ensuring adequate supply of office supplies
Filing physical and electronic documents - must be able to lift at least 15 pounds
Cleaning and organizing office
2. Case Management
· Ensuring new clients are uploaded into Case Management System
· Ensuring new clients are set up in payment system
· Ensuring new clients are sent Welcome email
· Ensuring clients are being sent their most recent Court Orders as they come in
· Ensuring client evidence is uploaded into their respective folders
3. Client Billing
· Ensuring existing clients are making their payments on time
· Reaching out to clients regarding missed payments
· Ensuring hourly clients are being sent monthly invoices
4. Closing out clients
· Ensuring clients are paid in full
· Sending client closeout letters
· Sending links to Google Reviews where appropriate
5. Prospective Clients
· Keeping track of all new prospective clients
· Scheduling consultation calls between prospective clients and attorneys
· Making follow-up calls to prospective clients
Key Performance Indicators -
· Accounts Receivable:
· 95% of billable collected within 60 days
· Consistent, identifiable tracking process for touch points in the collection process
· Clients:
· Average (10) Google reviews of 5 stars per month
· Accounting:
· Invoices sent to clients each month as necessary.
· Tracking payment of invoices and following up with reminders as necessary.
· Billing
· 30 billable hours per week
Ability to commute/relocate:
