Voyage Healthcare is looking for a Front Desk/Medical Records Site Coordinator for the Plymouth location. Responsible for oversight and training of location reception and medical records personnel. Drafts and creates new policies/procedures and protocols at the direction of the Site Manager. Prepares performance and disciplinary evaluations for location reception and medical records staff to review with Site Manager. This is a working supervisor position; regularly works assigned positions between Medical Records/Reception departments.
Responsibilities:

Primarily responsible for supporting Medical Records and Reception staff, answers questions and communicate updates in clinic policies, procedures, and protocols to department staff

Act as the go to site contact when Site Manager is unavailable

Knowledge and execution of all medical records and front desk duties

Oversees orientation and training of newly-employed Medical Records and Reception staff

Perform new hire evaluations by collecting feedback from providers and employee’s peers

Writes and delivers annual performance evaluations for review under Site Manager

Prepare and delivers coaching and communications and document progress notes for Medical Records and Receptionist staff

Assist with staff schedules for Medical Records & Reception

Assists Site Manager with completing incident and workers compensation reports and following up on staff injuries

Orders office and paper supplies from office supply vendors when applicable

Responsible for maintaining properly operating office equipment and contacting appropriate personnel for repairs

Manage offsite medical record storage and external insurance medical records audits

Report DOT medical records to government registry platform

Coordinates and orders the providers lunches when applicable

Assists Site Manager with projects and other duties as assigned
Requirements:
-
Minimum of two years of administration experience, preferred 1 year in a healthcare setting

Preferred associate’s degree in business, related field, or equivalent work experience

Advanced proficiency in various computer applications, e.g. word processing, excel spreadsheet, e-mail, database management and presentation software

Experience with automated scheduling and billing systems

Excellent verbal and written communication and follow up skills
-
Must be able to establish rapport and effective working relationships with providers, managers, and all clinic administrators

Excellent problem-solving skills and self-motivated

Ability to independently plan, organize, prioritize, schedule, coordinate, and make decisions
