Restore Health and Wellness Center, LLC is a substance abuse treatment center that provides inpatient and outpatient services.
We are looking to fill the Office Administrator position as soon as possible. Work is performed under the supervision of the Executive Director. The Office Administrator serves as the Office Manager and administrative assistant to the Executive Director. This position serves as both the first point of contact with staff, visitors, vendors, etc. and the office accountant. Receiving and forwarding calls, responding to clients and family members, as well as contract workers such as gardeners and utility companies. As the main accountant a knowledge of MS Excel and Quick Books is a must.
Duties and Responsibilities:
- Document daily services provided clients based on levels of care including IOP and PHP.
- Scan documents into clients’ KIPU charts and file in hard charts as assigned (when assigned / or when necessary).
- Maintain and send out accurate Client List / Client Census daily and provide census training for staff required to complete Client List.
- Maintain up to date documentation recording all interactions in KIPU.
- Complete additional duties as assigned (participate in case conferences as needed, conduct chart reviews as assigned, etc.)
- Compose and send out weekly Group Schedule.
- Complete weekly billing census.
- Maintain proper level of care assignments, bed assignments, and chart accuracy for all clients in KIPU.
- Maintains flexibility and adaptability to expected and unexpected changes in the work environment.
- Reports incidents, accidents, and occurrences in accordance with policies and procedures.
- Maintains safety of the physical environment.
- Communicate in a professional manner with proper use of telephone etiquette.
- Perform in a professional manner and role model a positive image of mental health.
- Knowledge of policies and procedures pertaining to attendance and punctuality.
- Understand and adhere to legal guidelines pertaining to client confidentiality and client rights.
- Maintains acceptable overall attendance.
- Perform other duties as assigned.
Qualifications:
- A minimum of three (2) years experience with MS Excel and Quick Books preffered.
- Ability to work as a team member and have management, communication, organizational and interpersonal skills.
- Ability to work under stressful conditions and be flexible in relation to department needs.
- Ability to multitask.
- Demonstrates Proficiency in Verbal & Written Communication Skills.
- Knowledge of State & Federal Statutes Regarding Patient Confidentiality Laws.
