Position Overview:
This position will be responsible for assisting in the direction, coordination, and evaluation of the Engineering administrative staff. This position carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws.

Education/Experience:
- Bachelor’s degree preferred and eight (8) years related experience required, including five (5) years in a management position.
- Experience supervising teams of 5 employees or more required
- High School degree or equivalent required.
Principal Duties and Responsibilities for this position:
- Supervise and lead administrative personnel to complete tasks and meet department and company expectations and goals.
- Manage work assignments/rotations, schedules, employee training, time off requests and overtime allotment.
- Set goals and performance expectations for administrative personnel to comply with the engineering departments and company’s goals and visions.
- Conduct performance reviews for administrative personnel
- Monitor department productivity and provide constructive feedback and coaching to administrative personnel as needed.
- Assist with new hire onboarding.
- Responsible for enforcing quality standards set by the company.
- Facilitate coordination of administrative personnel to meet operational and client goals, included but not limited to; client communications, budgets, project scheduling, preparation and issuing of reports and invoices, file purging and turnaround timeframes.
- Ensure administrative personnel achieve desired service levels; take corrective action, as needed.
- Manage productivity modules to track projects from intake to completion, identify areas of opportunity, and coordinate project updates or changes. Communicate delays to the Engineering Managers.
- Work with Engineering Department Managers to manage and coordinate experts’ coverage depending on the department’s needs.
- Support Engineering Managers by communicating with clients and homeowners as needed regarding Company services, operations, and procedures, and address questions or concerns of the client or homeowner.
- Escalate questions or concerns to Engineering Managers as needed.
- Schedule Engineering Department meetings
- Collaborate with Engineering Managers and Professional Experts to maintain accurate training materials and department communications.
- Develop, organize, and update guidelines, procedures, and training material to support the department’s workflows.
- Provide Engineering Managers with timely and efficient communication of updates with clients’ expectations.
- Foster a positive work environment and culture where the department operates with success and accountability.
- Responsible for other duties and special projects as assigned by Engineering and Executive Leadership.
Experience/Performance Preferences (Knowledge, Skills, and Abilities):
- Computer experience in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint), ability to learn and use other software programs.
- Provide excellent customer service and assist with solving client issues.

Typical Physical Demands:
Requires individual to perform a broad range of activities using a full range of motion, including manual and finger dexterity and hand and eye coordination. Requires corrected vision, speech, and hearing to a normal range, or special accommodations made of a sufficient nature for completion of tasks. The employee is frequently required to sit and is required to use hands or fingers to type. The employee in this position is occasionally required to stand; walk; use hands to finger, handle, or feel; reach with hands and arms; and stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 50 pounds. Requires working under stressful conditions and occasionally working irregular hours.
Typical Working Conditions:
Typical daily work environment includes on-site, in-office, site of event and automobile during travel. While performing duties the employee will typically work in a climate-controlled office environment. Exposures include but are not limited to: continual use of video display terminals (VDTs), repetitive activities such as keyboarding and mouse operations, other tasks associated with the ergonomics of computer work stations, and general operation of office machines. Outside events will include exposure to outdoor conditions, including varying weather elements (heat, cold, rain, etc.).
