Personal Executive Assistant
Mayta & Sebastian Architecture DPC is an Architectural Design and Consulting firm recognized for its expertise in building, design, forensics, and restoration/rehabilitation. Mayta & Sebastian Architecture DPC is seeking a detail oriented, organized, and upbeat candidate to fill the role of Personal Executive Assistant. The ideal candidate will be responsible for executing a range of administrative tasks on behalf of the two Principal Architects of our company.
Responsibilities
Calendar Management (Personal and Business)
Timesheets management (Using the BQE system)
Plans travel, including booking flights, taking care of other accommodations, and ground transportation
Ensure Trello tags are being answered in a timely manner
Makes sure the manager or executive is on task and managing their time well
Handle personal errands and tasks as required.
Coordinate and organize internal and external events.
Conduct research, compile data, and prepare reports
Required skills and qualifications
Exceptional organization and time-management skills
Strong communication and interpersonal skills
Active listener to understand people’s needs
Advanced typing and note-taking skills
Ability to handle confidential information with discretion
Willing to take a proactive approach to solving problems
Ability to multitask
Good with adaptability and flexibility
Preferred qualifications
Experience as a personal assistant or similar role- 2 years
Experience in the Architecture or Construction Industry (Plus not preferred)
Proficient in Microsoft Office and Google Suites
An associate or bachelor’s degree in communications or business administration
