Position Overview: The executive/personal assistant provides comprehensive administrative and personal support to Heidi and Ryan Ramos. This role requires a proactive, resourceful individual capable of managing a diverse range of responsibilities with professionalism and a sense of joy. You thrive on interactions with co-workers, clients, and guests. You crave order but excel at bringing order to constantly changing environments and situations present in consulting firms. You are respectful and considerate, but clearly communicate needs and expectation to your co-workers.
Responsibilities:
· Manages and maintains executives’ schedule.
· Make travel arrangements and event planning.
· Communicating with Supervisors & Peers – providing information to supervisors and co-workers in written form, e-mail, or in person.
· Communicating with people outside the organization, representing the organization in a professional and timely manner.
· Ensure timesheets are filed correctly and on time.
· Perform general office duties, such as ordering supplies, keeping common areas in order.
· Compile, transcribe, attend meetings, and distribute minutes of those meetings.
· Process invoices and light bookkeeping.
· Run errands as requested.
· Assist in household matters (coordinating maintenance, repairs & deliveries).
· Anticipate executive’s needs and be proactive about improving processes.
· Function as de-facto facilities lead when executives are unavailable.
Required Knowledge, Skills and Abilities
· Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records.
· Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
· Knowledge of principles and processes for providing customer and personal services. Customer service or Marketing Experience is a plus.
· Knowledge of computers and electronics – Microsoft Suite.
· Active listening – giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate.
· Reading comprehension – understanding written sentences and paragraphs in work related documents/emails.
· Speaking – talking to others to convey information effectively.
· Service orientation – Actively looking for ways to help people.
· Writing – communicating effectively in writing as appropriate for the needs of the audience.
· Being careful about detail and thorough in completing work tasks
