Administrative Assistant & Bookkeeper

Responsibilities:
- Provide administrative and clerical support to the CEO & President, including managing schedules, coordinating meetings, and handling correspondence.
- Perform essential bookkeeping tasks related to Accounts Payable and Accounts Receivable, ensuring adherence to accounting policies and procedures.
- Respond to inquiries and requests for information from stakeholders, grantors, and reporting agencies as directed.
- Enter general donor information into the donor database management system, DonorPerfect, ensuring accuracy and completeness of records.
- Prepare and mail donor correspondence, respond to prospective donor inquiries, and assist with fundraising appeals.
- Support and participate in events, fundraisers, and outreach activities as needed, to engage the community and raise funds to support animal welfare programs.
- Assist in compiling data/statistical reports for grant proposal preparations and newsletters.
- Assist with inventory and coordinate with Sr. Director to oversee office orders, receipt tracking, filing and office management.
- Assist with annual audit as needed.
- Assist applicable staff on an as-needed basis based upon written or verbal request from CEO & President.
- Actively engage with volunteers in such a way that provides support for our volunteers and staff and proactively improves our volunteer program.
- Be an ambassador for the company, sharing the work and mission with your friends and family and be knowledgeable of the various ways to support our work.

Qualifications:
- Good understanding of non-profit administration and mid-level bookkeeping.
- Preferred minimum of two year’s work experience directly related to the duties and responsibilities of the position. Prefer experience in personnel and office management.
- Strong interpersonal and communication skills (both oral and written) and the ability to work effectively with a wide range of constituencies.
- Knowledge of the fiscal management principles and practices in preparation of budget formulation and financial reports.
- Excellent computer skills, including proficiency in using word processing, spreadsheets, databases and QuickBooks Online.
- Ability to establish priorities, maintain confidentiality, and work in collaboration with the CEO & President and staff.
- Ability to work effectively in a fast-paced, collaborative environment and manage multiple projects simultaneously.
- Valid driver's license and insurable driving record.
Work Conditions and Physical Requirements:
- Ability to lift and carry objects up to 20 pounds.
- Work performed in an office environment with occasional exposure to noise and cleaning chemicals.
- Ability to sit, stand, and move around for extended periods.
- Flexible schedule may be required, including occasional weekend hours.
