With neighborhood and public partners, and in partnership with community members actively seeking to move past experiences of harm and injury, we design and deliver widely supported initiatives that promote safety, restoration, and racial equity. We test and evolve approaches in our flagship location in Seattle/King County, and then share models that are adopted in other jurisdictions seeking solutions for the same problems. Our approaches are scalable models for innovative, effective community-based responses to public safety needs.
Who We Are
Formed in 1969 as The Defender Association to provide high-quality legal defense for civil rights activists in Seattle, in 2013 we began to concentrate exclusively on alternative public safety models, when King County created an in-house public defense program. PDA remained independent to carry on the work of our Racial Disparity Project, which had helped to design LEAD, the nation’s first pre-booking diversion model for drug-related offenses. In 2021 we adopted a Co-Executive Director structure, recognizing the value of power-sharing, multiple voices and perspectives at the leadership level. Our multicultural team of lawyers, organizers, project managers, social workers, direct service providers and administrative staff blends professional and technical skill with lived experience of the systems we’re working to change.
Position Summary:
We are hiring an experienced Executive Administrative Support Manager who is a skilled professional who provides administrative support to executives and senior management and can handle various tasks, such as managing schedules, handling correspondence, organizing high-level meetings, maintaining records, ensuring smooth operations, and effective communication with internal and external stakeholders, and managing executive projects and requests.
Essential Job Functions:

Scheduling for the Co-Executive Directors when appropriate

Arrange meetings and other events
-
Take meeting notes with outcomes, next steps for executive level meetings as needed

Creating spreadsheets, preparing presentations
-
Assistance with Insurance negotiation and coordination
-
Subcontracting and commercial lease negotiations
-
Public disclosure tracking and reporting
-
Support in organizing/coordinating internal PDA staff training/professional development activities

Directors' Meeting agenda and follow-ups support
-
PDA Board of Directors’ support: help with drafting agendas, taking minutes, becoming acquainted with the bylaws, tracking board members year to year, onboarding new board members

Grant support coordination and responding to requests

Support in drafting the Staff Newsletter
-
Staff meeting agenda support
-
Administrative support of recruitment and hiring process

Other duties as needed.
Essential Job Qualifications:

8+ years of experience working in an executive administrative support or other relevant experience

3+ years of experience as a project manager or relevant experience
-
Excellent organizational and project management skills and ability to meet deadlines

Must be able to think analytically and strategically

Capable of working well as part of a team as well as independently

Great multitasker and capable of simultaneously managing multiple projects with different deadlines

Familiarity or experience working with MS, Powerpoint, Excel, Zoom, Google, and other software and platforms and be flexible in learning new programs, software, and technology.

The PDA Office is in Seattle, WA.

This is an exempt, Fair Labor Standards Act, at-will position; continuation in the position depends on both performance and funding.
