POSITION S U M M A R Y :
The Medical Office Specialist interacts directly with patients on the phone and face-to-face to support the front office operation. This position is responsible for scheduling appointments, processing payments both in-person and on the phone. Additionally, this position serves as a liaison between patient and medical support staff. The Medical Office Specialist will possess excellent communication skills, organizational skills, computer experience, and must be a self-motivator.
ESSENTIAL JOB FUNCTIONS:
1. Answer incoming calls, answering and transferring phone calls as required.
2. Schedule new and follow-up appointments.
3. Greet and check in patients in a courteous and friendly manner, verify and update necessary information in the medical record.
4. Collect co-pay and/or payment at time of service as required.
5. Establish agreed upon payment plans that meet policy requirements.
6. Maintain knowledge or experience in billing and insurance principles.
7. Prepare for patient visit, checking vitals, patient histories, rooming & discharging patients as necessary.
8. Assist Billing staff as requested with patient files.
9. Performs other duties as assigned.
EDUCATION:
High School Diploma or Equivalent required.
REQUIRED SKILLS:
· Basic computer and data entry skills required.
· Ability to handle cash and to count money at high volumes including mathematical computations.
· Effective oral and written communication skills.
· Able to exhibit a high level of confidentiality.
· Excellent organizational skills.
· Proactive and independent with the ability to take initiative.
PREFERRED SKILLS:
· Knowledge of basic medical terminology and insurance billing preferred.
· Previous experience working in a hospital, clinic or physician’s office preferred.
· Knowledge of Patient Centered Medical Home & Meaningful Use.
PHYSICAL REQUIREMENTS:
Physical condition appropriate to the performance of assigned duties and responsibilities which may include sitting or standing for long periods of time. Some bending, I lifting, stooping and stretching required. Requires normal range of hearing and eyesight. Requires eye-hand coordination and manual dexterity to operate office equipment such as computer keyboard, photocopier, telephone and calculator. Some lifting involved, up to 35 pounds.
GENERAL REQUIREMENTS:
- Valid Nebraska driver’s license with at least 100,000/300,000 liability insurance maintained and paid for by employee on personal vehicle. Insurance declaration for proof is required before travel or mileage reimbursement.

- Reports to work on time on a scheduled basis.
- Participates in Public Health Emergency Response Training and pre-assigned to a response team.
- Attends community, department and state meetings, training sessions, seminars, workshops etc. for professional development.
