Job Role:
To coordinate Air France and KLM expatriates’ onboarding and off-boarding procedures by coordinating visa applications, housing and school search, tax equalization, and implementing compensation packages. To ensure expatriates’ policy is known and enforced.
Organizational Context:
The Expatriate Coordinator a member of the HR team, and is the main point of contact for executives and managers transferred to the US from Air France and KLM corporate offices and whose human resources affairs are handled by the HR department.
Key Responsibilities
Manages expatriates’ administrative onboarding for the commercial passage, maintenance and cargo department.
Core Activities:
- Anticipate and overview visa applications with contracted law firm.
- Organize pre-assessment visits by arranging house and school search with real estate broker and school personnel.
- Ensure all tenancy agreements are concluded swiftly and in line with recommended in-house rules and regulations
- Coordinate car, cell phone, laptop and corporate credit cards
- Process administrative hiring on ADP.
- Request appropriate accesses to company tools related to expense and travel.
- Support expatriates related to acquiring a social security card, opening a bank account, obtaining home insurance, and a US driving licens
Administer compensation packages.
Core Activities:
· Calculate and process initial payments - tuition, furniture allowances, and reimbursements of temporary housing in line with the policy
· Process monthly payroll
· Prepare monthly reports and reconcile all payroll related additions and deductions for the finance department
· Work with the Accounting Team to ensure general ledger reconciliation and resolve expatriate’s payroll account gaps when applicable
· Implement quarterly salary changes and communicate new data to expatriates
Manage vendor relationships
Core Activities:
· Liaise with real estate brokers, and select new brokers if needed in a location
· Submit, monitor and approve vendor invoices
· Work closely with Accounts Payable to follow up on payments
Provide data to contracted tax provider and coordinate yearly income tax equalization.
Core Activities:
· Provide compensation data for transferring expatriates to provider
· Implement federal and local taxes deductions in monthly payroll
· Provide bi-annually taxable salaries and fringe benefits gross-up reports to provider
· Adjust required tax deductions on payroll based on provider’s calculations
· Set up individual meetings between expatriates filing for the first time and provider to ensure full understanding of rules and regulations
· Regularly review and process IRS, State and city tax notices received
Provide continuous support to expatriates during and at the end of their mission:
Core Activities:
· Monitor annual vacation tickets and vacation accruals
· Approve expense reports
· Coordinate lease renewals
Coordinate visa renewals
Facilitate expatriate returns to home country
Job-Requirements: knowledge, learned disciplines, experience
· Knowledge of visas procedures and local taxes requirements
· Knowledge of a payroll management software
· Accurate documenting skills and attention to details, problem-solving and organizational skills
· Fluency in French is preferred

Pay: $47,400.00 - $63,000.00 per year
