SUMMARY
Coordinates and assigns the work of Project Administrators as related to ongoing construction projects. Oversees the day to day activities of Project Administrators and Project Assistant. Ensures all projects are correctly and accurately input into the project management system. Oversees monthly billing activities to ensure accuracy of pay applications. Ensures that change orders, RFIs, submittals, pricing information, and close-out documentation is completed in accordance with specifications. Conducts close-out meetings with Administrators to ensure accuracy and compliance, and timely closeout and archiving of project documents. Works on special projects as assigned. Conducts performance reviews, counseling, and other related meetings with Project Administration staff. May also work in the capacity of Project Administrator as workload deems. Routinely audits projects through computer to ensure accuracy of information. Must have thorough knowledge of construction processes and documentation. Must have excellent verbal and written communication skills in order to maintain good working relationships with all clients, subcontractors, and vendors.
DUTIES AND RESPONSIBILITIES
1. Assigns Project Administrators to new projects. Ensures estimates are accurately itemized and input into accounting system.
2. Responsible for accurate and continuous flow of work in Project Administration.
3. Develops and implements standard project administrative documentation (i.e., logs, reports, etc.) Ensures compliance with established procedures.
4. Audits all monthly billings for accuracy and completeness.
5. Ensures all projects are set up and accurately maintained (i.e., schedules, binders, files, logs, etc.)
6. Ensures Project Administrators’ accurate input of all change orders, back charges, subcontracts, purchase orders, and other project costs.
7. Conducts close-out meetings prior to and after retainage to ensure appropriate documentation and close-out of purchase orders, subcontracts, and contracts.
8. Trains administrative staff as needed on software applications.
9. Conducts counseling, performance appraisals and other employee meetings with the Project Administrators.
10. Performs direct Project Administrative responsibilities based upon workload.
11. Exemplifies the service attitude of The Trevino Group at all times.
12. Performs other related duties upon request.
REQUIREMENTS
· High school diploma or GED equivalent, with some undergraduate work.
· Excellent verbal and written communication skills.
· Thorough knowledge of construction process, practices and documentation.
· Must have financial and/or accounting background in order to process financial documentation.
· Must have thorough knowledge of word processing, spreadsheet, and project management accounting software applications.
· Must have five years supervisory experience or equivalent.
