Must have minimum 3 years experience as office manager of a medical facility.
Office manager is responsible for ensuring a superior patient experience by:
- Ensuring every patient is treated warmly and empathetically.
- Ensuring each patient has an interaction every 10 to 15 minutes
- Ensuring every patient understands their diagnosis and treatment and addressing any concerns promptly.
- Ensuring timely patient turn-around through prompt registration and efficient clinic operations
Office manager is responsible for developing an effective and cohesive team by:
- Giving clear direction and communicating expectations
- Ensuring each team member receives the training and resources to be successful in their role.
- Ensuring that every team member knows their role and responsibilities and is accountable to themselves and others for their performance.
- Conducting regular staff meetings to inform staff of pertinent information.
- Coordinating with physicians on scheduling and members needs.
- Overseeing day-to-day office operations.
- Being responsible for opening and closing the office.
- Answering general office level questions from members regarding program concerns, pharmacy issues, and /or other personal needs of the program
- Managing petty cash fund and complete reports on a daily/weekly basis through accurate record keeping.
- Reviewing refund requests, adjustments/write-offs.
- Monitoring administration policies & directives to meet compliance guidelines.
- Establishing standards to ensure team members comply with established procedures
- Overseeing patient charts daily audits to ensure accuracy & address discrepancies with appropriate staff.
- Contributes, cooperates, shares knowledge & works collaboratively with others to create the highest level of work performance.
- Performing other duties as assigned.
- The Business Office Manager will have a major role in identifying workflow best practices, ensuring correct registration processes & correct charging practices.
Qualifications:
- Fluency with Excel/spreadsheets and Google Apps (Gmail and Google Docs).
- Exceptional written and verbal communication skills.
- Ability to multitask and prioritize with minimal supervision.
- Strong attention to detail and ability to manage confidential and highly sensitive information.
- Ability to problem solve quickly and independently, as needed.
- Ability to work with a team as well as an independent contributor.
- Ability to work evenings, as needed.
- Ability to remain calm in tense situations.
- Ability to maintain a pleasant voice while discussing account information.
- Ability to use sound judgement & remain impartial when making decisions affecting operational & staffing decisions.
