**Overview:**
We are seeking a detail-oriented and organized Real Estate Operations Specialist to join our team for a 3-month contract position with the potential for a permanent role. The Real Estate Operations Specialist is responsible for overseeing and optimizing the back-end operations of our real estate business. This role involves managing administrative processes, and supporting the team to ensure smooth and effective business operations. The ideal candidate will have strong organizational skills, attention to detail, a background in administrative support, customer service, and the ability to thrive in a fast-paced environment.
Duties:
- Operational Management: Oversee daily real estate operations, ensuring efficiency and accuracy in all processes.
- Listing Management: Coordinate listing launches, including vendor coordination, MLS entry, photo uploads, yard sign management, lockbox management, and open house management.
- Closing Management: Oversee all contracts through closing, ensuring the collection of commissions, coordinating yard sign management, and organizing closing gifts.
- Client Services: Communicate with clients weekly to ensure customer satisfaction.
- Administrative Support: Provide administrative support to the team lead, including but not limited to document creation, data entry, calendar management, email management, and maintaining records.
- Compliance: Ensure all operations comply with relevant laws, regulations, and company policies.
- Vendor Management: Manage relationships with vendors and service providers.
- Team Support: Assist agents and other team members with operational and administrative tasks as needed. Conduct team accountability one-on-one calls each week and run weekly team meetings.
- Reporting: Generate and analyze reports on operational performance, providing insights and recommendations for improvement.
- Technology Management: Oversee the use of technology and software systems to streamline operations and improve productivity.
- Marketing: Coordinate and implement all systems for marketing, branding, and internet lead generation. Produce listing marketing materials and schedule promotional programs for listings and lead generation.
- Social Media Management: Publish, maintain, and engage on social media outlets for both listings and branding.
- Events: Schedule and plan seminars, events, and team outings.
- Database Management: Manage the client database to keep information orderly and systemized. Manage SmartPlans and database marketing.
- Manage Tracking Software: Manage SISU data, including dates, tasks, vendors, and commissions.
