The Office Manager is responsible for:
- General Office management
- Scheduling day to day office maintenance
- Fire Safety Inspections, Plumbing, Electrical, and any additional maintenance needs.
- Tracking and renewing licensing and permits
- Provide administrative support to the CEO and Project Manager
Duties:
- Place monthly orders for food, snacks, and office supplies.
- Maintain efficiency within the office by establishing the best policies, standards, and procedures for the company or department
- Contribute to the planning of company-wide, corporate and internal meetings, parties, and events.
- Coordinate administrative functions including applying for and renewing lease agreements, contracts, licences, and registrations in a timely manner.
- Communicate building maintenance schedules with departments to adequately plan alternative work schedules if needed.
- Ensure office operations are running smoothly. [TO1]
- Regularly keep track of the Ruby Vista Apartment Complex:
- Communicate with cleaning company
- Grant access to Management when needed
- Track maintenance, leasing, and occupancy of the units
- Coordinate onboarding and related process with the HR Coordinator.
- Provide direction to the receptionist and other staff and temporary help as needed.
- Troubleshoot and correct timesheets based on input from supervisors, project management and employees.
- Work with payroll to ensure accuracy and timely processing.
- Work with appropriate departments to develop and implement procedures.
- Identify and implement methods for cost savings, and improved efficiency.
- Act in a safe and professional manner and wear appropriate attire including required personal protective equipment.
- Support the Chief Executive Officer and Project Manager with administrative tasks, including:
- Preparing and submitting documents
- Coordinating and Scheduling meetings
- Reporting issues related to Health and Safety, Employee Engagement, Operations, and Employee Relations.
- Management of Company owned property and accommodation.
- Booking travel and arrangement of meetings and events as required.
Skills & Experience:
- 5 years office management or equivalent experience.
- Degree or diploma in Business Admin an asset
- High School Diploma required
- Current valid drivers license and clean driving record
- MS Office Suite experience
- Excellent organizational, communication and interpersonal skills required.
- Able to work under pressure and follow complex instructions.
Job Type: Full-time
Pay: $60,000.00 - $80,000.00 per year
