Position Summary:
Full Time Occupational Medicine Coordinator to join our team. Working hours are 8:00am-4:30pm.
Essential Administrative Functions:
- Schedule and coordinate with companies/patients to make appointments for physicals.
- Mange Department of Transportation paperwork and documentation by entering in Federal Motor Carriers website, resulting out to employers, and scanning into patient charts, and or faxing out drug tests.
- Coordination, information management, and resulting out of physicals and drug testing to employers within a timely manner.
- Coordinate Scheduling for patients for treadmill stress test and colonoscopies.
- Address department, patient, and client needs, concerns, and scheduling requests in a timely and professional manner.
- Coordinate and schedule equipment for annual calibration
- Create new accounts for client to get services and answer any questions clients may have about services.
- Manage Titanium Respiratory Questionnaire (TRQ) program, including reviewing questionnaires, creating telephone encounter, calling patients, updating clearance, and consulting with providers if necessary.
- Assist Reception department with Occ. Med. patient intake processes as needed
- Support Office Administrator as required with patient record management, data entry, etc.
Essential Medical Functions (training provided):
- DOT Specimen Collector & Evidential Breath Testing (EBT).
- Aid in daily calibrations on equipment and open/close department when required.
- Adhere to HIPAA regulations
- Call patients for follow up medical information as needed.
- Aid in drug and alcohol testing, audiograms, fit testing, UA’s, respirator questionnaires, and other occupational medicine related functions if needed.
Billing Functions:
- Timely and accurately prepare and enter charges for the department.
- Invoice companies by mail or email
- Communicate with companies to resolve billing issues
- Receive and answer billing questions/concerns from patients, personnel and occupational medicine companies via phone, email and in person
- Investigate and correct denied and/or unpaid claims
Equipment Operated: Position requires the use of a multi-line phone, computer, fax machine, copier, tablets, barcode scanner, label printer, electronic signature pad, some medical diagnostic and treatment tools, and personal protective gear.
Experience Required: Minimum of 1 year experience in medical office.

Physical Requirements: This position requires the ability to stand, walk, sit, use hand to finger coordination, handle or feel objects, tools or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch, and listen attentively. Work requires moderate physical exertion. The employee must occasionally lift and/or move up to 30 pounds. Job duties frequently require intense concentration and attention to detail and ability to work at a computer.
Working Conditions: Job duties frequently require intense concentration and attention to detail and ability to work at a computer. Work requires frequent exposure to sharp instruments, reasonably anticipated exposure to blood and bodily fluids daily. May require the use of an N-95 mask and half mask respirator.
Work Environment: Work takes place at a single location in an Occupational Medicine Department which is part of a multi-specialty clinic. Ability to work in confined spaces and climb stairs required.
Immunization Requirements: Immunizations required: Influenza, Hep B, Tdap, MMR, Varicella or a positive titer test, PPD and any additional immunizations determined necessary for the protection of staff and patients. A negative COVID-19 test may be required prior to start date dependent on recent travel history. Care Medical Group will be financially responsible for COVID, titer testing, influenza vaccination and PPD screening if needed.
