JOB TITLE: Shipping & Receiving Specialist (Fremont)

REPORTS TO: Manager, Manufacturing Operations (Fremont)
ROLE PURPOSE
Nova Eye Medical manufactures small medical catheters for eye surgery. Shipping & Receiving is a key member of the Operations team in Fremont. They process the receipts of raw materials and supplies from vendors, as well as returns from customers. They also ensure that all customer shipments are picked, packed, processed, and transacted. Their primary working relationships across the organization include Purchasing, IQA, Inventory Control, Customer Service, and Accounting. Nova Eye does not use pallet or forklift vehicles. All our products are packed and shipped in small to mid-size cartons and the Shipping & Receiving person will be required to handle these cartons.

MAJOR DUTIES & RESPONSIBILITIES
Receiving
- Greet deliveries of supplied materials as and when required.
- Process the receipts of raw materials and supplies from vendors, as well as returns from customers.
- Match incoming materials with purchase orders, assign lot codes, and transact receipts in ERP system.
- Prepare traveler package for IQA and Accounting.
- Resolve receiving discrepancies with Purchasing.
- Move receipts to IQA.
- Coordinate with Inventory Control to determine stocking location.
Shipping
- Raise and transact import and export shipment documentation (domestic and international).
- Collect sales orders, customer purchase orders, packing slips, and freight carrier details from Customer Service, including product return replacements.
- Prepare traveler package for Customer Service, Accounting, and the package to be shipped.
- Pull products for shipment from FGI and package in cartons for shipment.
- Create a waybill in the freight carrier online portal and print shipping labels. (eg using FedEx, UPS or DHL)
- Perform shipping transactions in ERP system as required.
- Book and arrange collection of products (FGI or for sterilization) with freight company and oversee pickup and dispatch.
- Ensure all packages are picked up by freight carriers each day.
- Follow up on delayed shipments.
- Communicate to staff on freight dispatch and tracking details as required.
- Manage supplies in Shipping department.
Other
- Follow SOP’s and WI’s as required by company QMS.
- Participate and assist with stocktake activities.
- Maintain organization of Finished Goods room and perform daily cycle counts (as needed)
- Perform backup duties as needed by the organization.
- Other activities and actions as instructed by manager.
QUALIFICATIONS / EXPERIENCE
- Minimum 2 years’ experience in the Shipping & Receiving functions.
- Experience working in a medical device company and startup highly desirable.
- Working knowledge of freight carriers’ online portals including FedEx, UPS, and DHL.
- Experience in making transactions in an ERP system (QAD experience is a plus).
- Strong computer skills including Outlook email and Excel spreadsheets.
EDUCATION
- High school diploma required
- Associate degree desirable
OTHER QUALITIES
- Must be highly detail-oriented, organized, and possess the ability to multi-task.
- Must have the ability to handle high-pressure situations and prioritize workload accordingly.
- Good communication skills both internally and externally, positive attitude, and strong work ethic are a must.
BACKGROUND
Nova Eye Medical Limited (Nova Eye) owns three businesses in ophthalmology;
- the Nova Eye Inc “iTrack” business based in Fremont, California that designs, manufactures and sells surgical products for treating glaucoma,
- the Nova Eye Medical “2RT” business based in Adelaide, Australia that has pre-commercial, highly prospective technology for treatment of people with early to intermediate age-related macular degeneration; and
- the Molteno glaucoma drainage device based in Dunedin, New Zealand.
The markets for Nova Eyes products are large, global and have high potential for growth.

Pay: $25.00 - $32.00 per hour
