Job Summary:
Gracie Barra Doral Jiu-Jitsu School is seeking a dynamic and customer-oriented Front Desk/Sales Assistant to join our team. The ideal candidate will be the first point of contact for our students and visitors, providing exceptional customer service while managing front desk operations and driving sales initiatives. This dual role requires a blend of administrative skills, sales acumen, and a passion for martial arts. You will be responsible for welcoming and assisting students and parents, managing attendance and inventory, promoting our programs, and ensuring a smooth registration process. Duties and Responsibilities:
1. Customer Service:
- Answer phone calls and provide information about our services and events, such as hours, prices, programs offered, etc.
- Respond to emails and messages politely and efficiently, clarifying doubts and providing necessary information.
- Welcome and greet all students and parents of students, offering warm and friendly service.
- Assist students in the registration and contract renewal process, ensuring that all information is recorded correctly, including notes in the system and weekly reports through the ClubReady system and Sales Daily Report.
2. Administrative Duties:
- Record the attendance of students at the school and maintain accurate attendance card control as well as checking in on the ClubReady system.
- Manage inventory of Jiu-Jitsu uniforms, including carrying out regular inventories, restocking items, and tracking orders.
- Keep the reception area always clean and organized.
- Provide administrative support to the school staff as needed.
3. Sales and Promotion:
- Identify sales opportunities and promote the programs, services, and products offered by the academy.
- Receive those interested in enrolling at the school, providing detailed information about the benefits of Jiu-Jitsu and the programs available.
- Schedule trial classes and conduct guided tours of the gym, showing the facilities and answering any questions.
- Follow-up with potential students, maintaining contact and providing additional information to assist in decision making.
- Negotiate and close contracts with new students, ensuring customer satisfaction and compliance with established sales objectives.
- Work closely with the Program Director to ensure a smooth transition for new members into the school environment.
- Monitor new students' progress and provide additional support if needed to ensure long-term retention.
Experience and Skills:
Required: Ability to read, write and communicate proficiently in English and Spanish (Brazilian Portuguese is a plus)
Customer Service Experience:
- Previous experience working in a front desk or customer service role.
- Strong communication skills and the ability to interact warmly and professionally with students, parents, and potential clients.
- Experience in handling phone calls, emails, and in-person inquiries efficiently and courteously.
Administrative Skills:
- Experience in managing administrative tasks such as record-keeping, inventory management, and maintaining a clean and organized work environment.
- Proficiency in using computer systems and software for tasks such as attendance tracking, inventory control, and reporting (experience with ClubReady system is a plus).
Sales Experience:
- Experience in a sales role, preferably in the health, fitness, or sports industry.
- Proven ability to identify sales opportunities, promote services and products, and close sales deals.
- Skills in conducting follow-ups with potential clients and providing detailed information to assist in decision-making.
Knowledge of Martial Arts:
- An understanding of martial arts, particularly Brazilian Jiu-Jitsu, and its benefits.
- Ability to explain programs, benefits, and facilities to potential clients and new students.
Organizational and Multitasking Abilities:
- Strong organizational skills and the ability to multitask effectively in a busy environment.
- Ability to manage multiple responsibilities, including customer service, administrative tasks, and sales activities.
Team Collaboration:
- Experience working collaboratively with a team to ensure smooth operations and transitions for new members.
- Willingness to provide support to colleagues and contribute to a positive team environment.
Flexibility and Adaptability:
- Ability to adapt to changing situations and handle various tasks simultaneously.
- Willingness to work flexible hours, including evenings and weekends, as required by the academy's schedule.
