Busy ENT office looking for a front office coordinator/check out. Ideal applicant must be able to multi-task and have medical front office experience. Customer service and pleasant attitude a must. Preferred Athenanet EMR experience. Bilingual (English/Spanish) preferred.
Summary of Position:
A medical front office coordinator assists patients and visitors of a medical office. They maintain the organization of a medical office and ensure the medical environment is welcoming, calm, and quiet for patients and their families. Medical front office coordinators provide compassionate service to patients while calmly managing patient communication, filing, and answering telephones.
Roles & Responsibilities
- ANSWER MULTI-LINE PHONES- Follows phone protocol; either direct the caller to the appropriate party or handle the caller’s needs yourself; takes appropriate messages and communicates phone messages to appropriate party
- CHECK IN/CHECK OUT- Greets patients with a smile upon arrival; gives and collects new patient paperwork, obtains copies of driver licenses and insurance cards, takes photo of patient; completes check in and puts charts available for intaking
- DATA ENTRY- Correctly enters patient information into EMR system; maintains patient accounts by obtaining, recording, and updating personal and financial information.
- PAYMENTS- Collects patient payments and balances. Collects care credit payments; collects over the phone payments; turn in time of money daily; calls patients to inform of balances prior to patient appointments
- SCHEDULING- Schedule appointments accurately for new and recurring patients bases on appointment type and availability; uses multi-resource to schedule on multiple schedules; reviews schedule for errors and makes necessary corrections; clear appointment ticklers; call all no-show patients to reschedule
- COMPLIANCE- Protects patients' rights by maintaining confidentiality of personal and financial information
- FILING- Ensures availability of treatment information by scanning, filing and retrieving patient records
- INVENTORY- Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; verifying receipt of supplies; scheduling equipment service and repairs
- OPERATION- Maintains operations by following policies and procedures; reporting needed changes; maintains reception, lobby, bathrooms, drink corner, and other patient areas as needed; turn in mail and other items to office manager; deliver packages to correct department
- PATIENT SERVICES- Comforts patients by anticipating patients' anxieties; answering patients' questions; optimizes patient’s satisfaction with communication regarding appointment delays, services, and other medical/administrative inquires; inform patient of insurance benefits and payment for services
- OTHER DUTIES- Assist with check out as needed; take out mail; opens/closes office; follows receptionist protocols; prep charts for following business day; maintains a clean office and reception area; waters plants; medical records; assists with referrals/authorizations
