The Park District of Oak Park is hiring a Full-Time Human Resources Generalist. Job Purpose:
Under the direct supervision of the Director of Human Resources & Risk Management, the Human Resources Generalist will provide complex comprehensive administrative support to the Human Resources Department including but not limited to maintaining employee records, recruitment, volunteer coordination, compliance, HRIS, benefits, & compensation. By leveraging exceptional organizational skills and keen attention to detail, the Human Resources Generalist ensures that all HR activities are executed accurately and timely, contributing to a positive and productive work environment.
Essential Functions:

Maintains, updates and files Park District records, files and databases, including personnel files, benefit files, project files, recruitment files, criminal background checks for volunteer/affiliates, and related correspondence.

Ensures compliance with labor laws and company policies by maintaining accurate records and assisting with audits and reporting.

Provides exceptional level customer service.

Identifies, recruits and trains volunteers to support various District initiatives, programs and events.
- Develops and maintains a volunteer database and ensures volunteers are appropriately matched to tasks.

Assists in designing promotional pieces for volunteer and job opportunities.

Develops and initiates regular communication with volunteers, both individuals and groups through email and other means.
- Organizes and assists with training sessions for both employees and volunteers, ensuring they have the necessary skills and information.
- Researches, identifies, and liaises with external training speakers or vendors to facilitate staff development programs.
- Organizes logistics for training events, including scheduling, preparing materials, and setting up training rooms.
- Coordinates and facilitates training sessions for staff and volunteers.

Handles training surveys and exit interview campaigns for volunteers and staff.

Handles routine HR inquiries from employees and volunteers and escalates complex issues as needed.
- Contributes to the development and implementation of HR processes and procedures to improve efficiency and effectiveness.

Conducts wage and salary surveys by collecting and evaluating salary data; prepares recommendations for review by the Director of Human Resources.

Provides on-boarding and off-boarding administrative support with various systems. Such as Paycom Employee Self-Service, Paycom Learning Module, Hub (Intranet), etc.

Responsible for posting and maintaining employee bulletin boards throughout all District Facilities.

Completes monthly expense reports by gathering receipts, creating purchase orders and completing statements.

Completes employee verifications and responds to unemployment claims as needed.
- Maintains the integrity and confidentiality of human resource files and records.
Additional Functions:

Assists HR team members with various projects and initiatives, providing logistical and administrative support as needed.

Prepares and distributes HR documents and reports.

Maintains awareness of worker safety guidelines and standards and applies these in performing daily tasks and activities.

Assists with shredding documents and boxing files for destruction per the destruction policy.

Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.

Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, etc.
Knowledge, Skills, and Work Experience Required:
-
High School Diploma or equivalent required. Associates degree preferred.
-
Formal education and previous experience and training, such as supplemental course work or training in general secretarial and clerical skills and modern office procedures which provides the required knowledge, skills and abilities within the assigned areas of responsibility.

Prior experience coordinating a volunteer program preferred.

Prior experience working within human resources preferred.

Excellent written and oral communication skills.

Thorough knowledge of current acceptable business practices and procedures, including composition, English and grammar usage in business documents; thorough knowledge of current acceptable business systems and equipment and secretarial practices and procedures.

Proficient in Microsoft Office products (Word, Excel, Outlook) and other computer software for word processing, spreadsheets, and database applications.

Experience with HRIS systems, such as Paycom preferred.

Ability to compose correspondence on routine matters, perform routine office management details, and to initiate creative problem-solving skills without referral to a supervisor.
- Ability to work with a minimum of supervision, to solve problems comprehensively and to produce accurate work within a set deadline schedule; ability to perform duties with initiative, accuracy, persistence, creativity, good judgement, tact and courtesy.

Ability to switch attention quickly between tasks to address or respond to patrons or staff interruptions.

Certification in advanced Cardio Pulmonary Resuscitation (CPR), First Aid and Automated External Defibrillator (AED) within 3 months of employment and keep certification current. The District provides this training.
