POSITION SUMMARY: The Business Coordinator will perform a variety of technical, administrative, and business services to support the daily programs and events for the Land Management Department which includes the Farm, Ranch, Olive Mill, Tasting Rooms, and the Séka Hills Brand. This individual will work closely to ensure that timelines are followed, meetings are coordinated and the logistics of the day-to-day operations of the Land Management Department run smoothly. This position requires the ability to work efficiently and effectively in a fast-paced office environment and is expected to handle highly sensitive, confidential, and political information. The Business Coordinator must be a self-starter, have a high level of concentration, and stay on task through completion.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

- Provides ongoing administrative support for the Land Management Department.
- Prepares agendas, minutes, and meeting material for all meetings.
- Prepares portfolios for Committee meetings.
- Prepares contracts and is the gatekeeper for all contracts on behalf of the department.
- Prepares Resolutions for the Director of Land Management for Tribal Council approval on projects, project budgets, contracts, and other items.
- Maintains the department’s files including land acquisitions, deeds, and sales forms.
- Assists in the employee safety program.
- Coordinates departmental staff meetings and special events.
- Coordinates with all departments and outside third parties to ensure a satisfactory workflow.
- Disseminates information and follows up on action items as appropriate.
- Performs all accounts payable and receivables for the Land Management Department.
- Processes expense reports, manages mail, sorts, and answers correspondence.
- Assists with the coordination and the scheduling of Tribal property tours and other local government and community meetings/tours.
- Assists with preparation of crop reports and crop information.
- Assists with grant application processes.
- Assists the Business Manager with the preparation of monthly reports.
- Provides notice of meetings, events, and other obligations; provides follow-ups and reminders.
- Assists the Accounting Manager in reviewing, pre-approving, and coding invoices and applications for payments on contracts/ agreements and general office needs. Includes monitoring of contract’s overall dollar value to ensure that it is not exceeded.
- Assists Accounting Manager in preparing business expense reimbursements, invoices, and credit card payments.
- Arranges and coordinates travel schedules and reservations.
- Orders and maintains supplies and arranges for equipment maintenance.
- Assists with coordination of multi-departmental activities.
- Makes copies of correspondence or other printed materials.
- Assists in sales orders of wine and oil.
- Assists in various events for Séka Hills and the Land Management Department.
- Attends all Committee meetings and other meetings assigned.
- Performs other duties as assigned.
Education and Experience
Associate's degree (A. A.) or equivalent from two-year college or technical school; one-year related experience and/or training; or equivalent combination of education and experience.
Certificates, Licenses, Registrations
Individuals must be able to successfully pass the Tribal Gaming Agency (TGA) Background Check. Must possess a valid driver’s license and maintain a driving record that is satisfactory to the Tribe’s insurance carrier.
