Job Summary:
The Front Office Coordinator is responsible for overall front desk duties including maintenance of patient reception areas, patient registration and scheduling, answering telephones, payment processing, and insurance verification. The Front Office Coordinator must demonstrate professionalism and tact at all times, and should be attentive to patients’ needs and communicating any potential issues to staff or leadership. This position is vital to our pain clinic, as the Front Office Coordinator will be the initial point of contact acknowledging patients upon their entrance to the practice.
Duties/Responsibilities:
- Greet patients upon arrival, answer phones, patient registration including check-in and check-out processes, insurance verification, and appointment scheduling.
- Direct visitors and vendors as needed.
- Maintain the reception and waiting room area.
- Prepare patient charts for their appointments.
- Schedule tele-med appointments.
- Receive and distribute patient paperwork upon arrival.
- Manage incoming faxes and referrals, distribute appropriately.
- Request outside patient medical records and scan to chart upon receipt manage cardiac clearance requests. Send requests and schedule patient procedures upon receipt.
- Responsible for cash handling including collecting co-payments and past due balances.
- Follow procedures for opening and closing the office..
- Maintain a pleasant and cooperative demeanor while performing all duties.
- Keep an open line of professional communication with co-workers and providers regarding patient needs.
- Optimize patients’ satisfaction and providers’ time by following appointment scheduling guidelines.
- Comfort patients by answering patient questions and anticipating needs.
- Maintain patient accounts by updating personal and financial information.
- Follow HIPAA guidelines for protecting the confidentiality of patient information.
- Maintain operations by following policies and procedures.
- Perform other duties as assigned.
Education and Experience:
- High school diploma/GED or equivalent previous experience.
- Previous medical office experience is preferred, but not required.
- Previous EMR experience is preferred, but not required.
- Experience and knowledge of insurance guidelines and insurance preferred.
Required Skills/Abilities:
- Must possess excellent customer service skills.
- Demonstrate the ability to prioritize job duties with effective time management, as well as handle various tasks simultaneously.
- Ability to handle high patient volumes in a professional manner.
- Ability to maintain composure in stressful situations.
Work Environment:
- Work performed in an office environment.
- Involves frequent contact with patients, physicians, and medical office staff.
Schedule:
Monday through Thursday, 7:00AM – 4:00PM
Friday, 7:00AM – 1:00PM
Hourly Rate:
Starting at $18
