An executive assistant provides administrative support and clerical assistance to executive and director-level management within a company. The assistant typically helps schedule and manage the itinerary of an executive, including scheduling meetings, travel and other demands on the executive's time. They also perform clerical and office duties; these may include running errands, screening phone calls, drafting letters and other documentation on behalf of the executive.
Executive assistants must possess excellent written and verbal communication skills, interpersonal skills and be well organized.
Professional, pleasant, thorough personality and attitude. On special occasions, May be required to work outside of 9-5 ( 1 Hour for lunch) window. Able to anticipate needs of executive is very important.
Able to maneuver systems for airlines priority needs and detailed travel arrangements. May be required to assist in personal needs.
· Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
· Maintaining comprehensive and accurate records
· Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
· Answering phone calls in a polite and professional manner
· Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
· Managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters -- sending reminders
· Interactions with accounting/financials as needed – for reimbursements and other standard accounting principles
Need to be proficient in Excel and Word
Examples of Personal Errands:
Pick up items needed in preparation for trips and events
Will host either Business Receptions or Formal Dinners at her residence and will
need to be able to coordinate with caters/ Floral company and waitstaff.
Note: Executive will always make the final decision. Executive Assistant will need to gather information for her to review.
On the actual day of an event, the exe asst will supervise to make sure all is addressed
Prior to departure which may surpass the 5:00 pm time frame.
She hosts at her residence from 5-10 times per year average guest ( all pending) from small group of friends of 8 to a 1time a year larger reception style of up to 40-50.
Pick up Mail at her residence ( While she is away)
Meet Maintenance Staff at her Residence for appliance repairs, etc.
Her residence is approximately 2 miles away from the office.
With regards to the Foundation, she needs the exe asst to Write notes for the organization
