Position Summary:
The Executive Assistant assists the CEO with the Board and Shareholder meetings and various office duties. This includes preparing agendas, board packets the annual report and meeting minutes.
Essential Functions
· Manage the CEO's calendar, including scheduling meetings and appointments
· Coordinate projects and initiatives on behalf of the CEO
· Act as a personal assistant to the CEO, handling various tasks as needed
· Utilize tools such as Outlook Calendar, DocuSign, and other software for efficient task management
· Perform data entry and maintain accurate records
· Organize and file documents both physically and digitally
· Support the Board of Directors and Shareholders by organizing board meetings and annual meeting logistics, and respective agendas and minutes, preparing and mailing packets and managing all correspondence.
· Handle phone systems and direct calls appropriately
· Provide administrative support such as transcribing notes and drafting correspondence
· Manage website, newsletters, and correspondence on behalf of the CEO
Job Specifications
· Proven experience as an Executive Assistant or similar role supporting top-level executives
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software
· Strong organizational skills with the ability to prioritize tasks effectively
· Excellent communication skills, both written and verbal
· Ability to handle sensitive information with discretion
Physical Demands
· Endure various physical movements throughout the work areas
· Must be able to sit, type, use 10-key, answer and communicate using telephones, write correspondence and other office-related duties for extended and repeated periods of time
Qualifications
· Associates Degree.
· 5+ years of experience in an executive admin
· Proficiency in MS Office applications
