Office Support Specialist - Recreation
Provide exceptional customer service to Parks and Recreation customers. Independently perform a broad range of duties in a fast-paced environment.
Provide exceptional customer service to internal and external customers
Interact with others in a manner that is professional and inspires open communication
Provide customers with information regarding recreation programming, facility and recreational amenities, process facility and activity reservations; explain options and answer questions
Receive, answer, or refer telephone and/or in-person inquiries, complaints, and questions in a tactful and pleasant manner
Help to create and maintain a respectful workplace culture and champion diversity and inclusion
Implement new customer service strategies when appropriate, that ensure service delivery and contact with the public is professional and helpful
Collaborate with finance staff to manage all cash handling and financial reporting
Create and maintain financial records and reports, including revenues, expenses, and petty cash
Process transactions for the facility; prepare, balance and submit daily deposits (matching actual receipts with registration software reports).
Handle miscellaneous financial duties
Assist with training staff on point of sales, cash handling procedures, and customer service expectations
Process division financial needs including purchase orders, credit card documentation and verification of purchases
Coordinate the department’s financial assistance program
Provide general office support and assistance
Type memos, letters, correspondence, contracts, reports, forms, and invoice in a timely manner
Maintain office systems information and files in an accurate and easy to use manner
Maintain and update department webpage as needed or assigned
Prepare documentation and file for various Park and Recreation activities, public events, meetings and private rentals
Primary operator for office equipment, place service call/requests when needed
Perform numerous office functions including office supply inventory, mailings and copying
Administrative support to recreation programming and facilities including staff scheduling, facility coordination and ensuring supplies and rosters in place for extensive programming
Perform related work as apparent or assigned
PHYSICAL REQUIREMENTS
Very Frequent (Often required to perform the job): reaching (extending hands and arms in any direction), handling objects (grasping, turning or otherwise using hands or hand), repetitive hand motion, use of arm muscles over extended periods, stationary desk or bench work with neck bent forward.
Frequent (Usually required for the job): standing, sitting, walking, lifting, pushing/pulling, carrying, kneeling (bending leg at knee and resting on knee), crouching (bending at knees), bending at waist.
The employee must be able to lift/carry items from 0 – 24 pounds from 0 – 6 feet. Employee must be able to list items such as files, ream of paper, office equipment and recreation activity equipment and supplies
