POSITION SUMMARY:
This is a mid-level staff, part-time position in the City Secretary’s Office. An individual in this position is responsible for the coordination of an effective and efficient records management system.
ESSENTIAL DUTIES AMD RESPONSIBILITIES:
- Manage and coordinate the City’s records management program.
- Coordinate and manage City-wide records management policy concerning retention schedules and all records management requirements according to the State Records Center – retention, storage, and annual disposition of records within all departments; update and distribute the City records management manual.
- Coordination of all City records at the offsite records storage facility to ensure proper retention and disposal for each department based on state-mandated record retention guidelines. Assist and train City departments to help efficiently maintain records in both paper and digital formats.
- Provide professional and/or technical assistance in analyzing, developing, and maintaining the methods, procedures and staff relating to document imaging process within the City’s public records.
- Create and implement an automated records management system/process utilizing current software to aid and assist all City departments.
- Train, manage and assist staff in document scanning/imaging process and utilization of Laserfiche software and system.
- Perform various administrative support activities.
- Perform other related duties as assigned.
REQUIRED EDUCATION AND EXPERIENCE:
- A bachelor’s degree in business, records management, public administration, or a similar field of study, plus two (2) or more years of related and progressively responsible experience performing administrative/office management work;
OR an associate degree with related coursework, plus four (4) years of experience as listed above;
OR a high school diploma or GED, plus six (6) years of experience as listed above.
- An equivalent combination of education, experience, certification, and training may be considered.
CERTIFICATIONS AND LICENSES:
Valid Class “C” Texas Driver’s License.
