As Contract Administrator you will:
- Assist Project Managers with the creation, issuance, and tracking of Purchase Orders and Subcontracts.
- Verify alignment between the subcontract documents and the prime contract and associated exhibits and ensure all contract requirements are met throughout the project life cycle.
- Ensure appropriate document control procedures are followed including subcontracts, change orders, bonds and insurance certificates through the entire life cycle of the project/contract.
- Ensure receivables from contractors are received in a timely manner and are correct and within their scope of work per the contract and agreement.
- Audit invoices against purchase orders and budget for cost accounting entry and payables.
- Track material deliveries and returns utilizing delivery tickets and invoices.
- Oversee the accounts payable process including the coding and approval of all invoices and subcontractor payment applications.
- Assist in entering and reconciling accounts payable with job cost emphasis.
- Execute/coordinate subcontractor/vendor payments and lien waivers.
- Generate Monthly Draws to the Owner.
- Responsible for new vendor setup for subcontractors and ensuring compliance regulations are met.
- Track Daily Manpower for assigned project(s) weekly and forward report to Certified Payroll Consultant and review submission of subcontractor certified payrolls in Elation Systems.
- Assist construction team with duties regarding start-up of project (i.e., OSHA & Labor posters, trailers, electrical, plumbing, permitting, and any temporary requirements)
- Assemble close-out/turnover documents for owner’s use.
Reports to: Contract Administration Manager
Qualifications:
- Minimum of 3-5 years strong administrative/accounting experience required
- Proficient in Excel, Word, and Outlook
- Experience with the management, submittal, and tracking of pay applications for construction projects, including AIA and lien waivers preferred
- Construction Accounting, Procore and/or Sage Experience preferred
