The Assistant Manager will assist the Community Association Manager with the management of the Association,
property, maintenance, staff, and vendors. This person will be responsible for performing management, administration, owner, and resident relations duties.
Responsibilities:
- Oversee and participate in weekly violation inspections, deed restrictions letters, follow up and fining process
- Oversees the Architectural Application process by assisting the administrative assistants and ARC Committee with same Oversees and participates in providing a high level of service to the client (homeowners, tenants, board, committees) including, but not limited to, timely and complete resolution of homeowner and tenant concerns
- Oversee social community events: develop, plan, and implement enjoyable programs and activities for guests to promote fitness, wellness, and enrichment. Keep records to improve future recreation planning, documenting guest reception and participation
- Assists with updates made to the governing documents, guidelines, policies, rules & regulations, and forms
- Track expiration dates on all contracts; assists with soliciting bids, assist with bid packet preparation, , contract negotiations, execution and filing
- Assists manager with annual meeting, board meeting and committee meeting packets and preparation (in accordance with association’s bylaws notice requirement)
- Draft meeting minutes and make changes as requested by the CAM and Board
- Assists with preparation of monthly reports
- Assist community manager with research
- Assists manager with vendors, vendor contracts, certificates of insurance, W-9’s, etc.
- Promotes and maintains a positive work environment
- Ensures that safety procedures and a safe work environment is being maintained
- Must be willing to assist during emergencies that may occur during
- nights and weekends
- Must be willing to work nights and weekends when needed
- Performs adhoc duties and special projects
- Assumes all other duties and responsibilities as directed by the Community Association Manager
Skills and Knowledge:
- Knowledge of company policies, procedures, and forms at an expert level
- Knowledge of conflict resolution techniques at an expert level
- Knowledge of general office equipment (copier, fax, phone systems, etc.)
- Professional customer service skills
- Self-motivated, proactive, detail oriented and a team player.
- Interpretation and completion of verbal and/or written instructions at an expert level.
- Time management and time critical prioritization skills.
