Position Title: Senior Meeting Planner
Position Type: 1099 Contract
Location: Hybrid - Washington, DC area (with periodic on-site meetings as required)
About the Role: FAR Consulting, Inc. is seeking a highly skilled and experienced Senior Meeting Planner to join our team. The ideal candidate will have a strong background in planning and managing meetings within a government context. They will be responsible for coordinating and executing all aspects of meetings and events for the NCER & NCSER Technical Working Group (TWG) Meetings under the U.S. Department of Education. The candidate must hold relevant certifications, including Certified Government Meeting Professional (CGMP) and Certified Meeting Professional (CMP), to ensure adherence to federal regulations and the highest standards of meeting planning.
Key Responsibilities:
Meeting Planning and Coordination:
- Plan and execute all aspects of virtual and in-person meetings, including logistics, scheduling, and participant coordination.
- Develop detailed project plans, timelines, and budgets for each meeting.
- Coordinate with internal teams, vendors, and external stakeholders to ensure seamless execution of meetings.
- Manage all pre-meeting preparations, including venue selection, travel arrangements, and material preparation.
Logistics Management:
- Oversee the setup and breakdown of meeting venues, ensuring all technical and AV requirements are met.
- Ensure the availability and functionality of virtual meeting platforms (e.g., TEAMS, WebEx) and provide technical support during meetings.
- Arrange for travel, lodging, and per diem for meeting participants as required.
Communication and Stakeholder Management:
- Serve as the primary point of contact for all meeting-related inquiries and issues.
- Maintain regular communication with meeting participants, providing updates and logistical information.
- Prepare and distribute meeting agendas, invitations, and other relevant materials.
- Document and disseminate meeting minutes and summaries post-event.
Quality Assurance:
- Ensure compliance with all federal regulations and company policies related to meeting planning and execution.
- Conduct post-meeting evaluations to gather feedback and identify areas for improvement.
- Maintain meticulous records of all meeting activities, expenses, and participant information.
Skills and Competencies:

Minimum Qualifications:
- Education: Bachelor’s degree in Event Management, Hospitality, Business Administration, or a related field.
- Experience: Minimum of 10 years of experience in meeting planning, with a focus on government or corporate events.
Certifications:
- Certified Government Meeting Professional (CGMP) – Required.
- Certified Meeting Professional (CMP) – Required.
- Certification in Exhibition Management (CEM) – Preferred.
