Job Description: As the Office Coordinator, you will be responsible for supporting the daily success of office operations and providing Mill Steel’s excellent level of service to all guests that enter the building. This person is actively involved in coordination of building maintenance and management of outside vendors to ensure the premise maintains its clean and well cared for appearance. This dynamic role also includes direct support for the executive and c suite team. Multi-tasking and time management are key, as most weeks offer a diverse range of tasks.
Duties and Responsibilities:
- Manage and direct calls through the main company phone line.
- Coordinate guest visits, prepare conference rooms, meeting materials and provide assistance to guests throughout their visits
- Handle mail distribution and maintenance.
- Prepare, print, and distribute employee newsletters.
- Maintain and be accountable to manage office supply inventory.
- Ensure cleanliness, restock supplies, and organize fridge contents in office kitchens.
- Communicate with vendors and oversee office maintenance (plants, cleaning services, company vehicles, etc.)
- Assist with employee onboarding procedures and new hire set up
- Coordinate and manage employee milestone celebrations (e.g., anniversaries, birthdays).
- Reconcile company billing at the end of the period
- Provide project support for executive and C-suite teams as required.
Qualifications:
- Bachelor’s degree in business administration, office management, hospitality & tourism management or related field, preferred.
- 1-3 years of proven experience in an administrative or office support role preferred. Excellent verbal and written communication skills.
- Self-motivated with the ability to work independently, as well as part of a team.
- Strong organizational skills with attention to detail.
- High level of time management skills.
- Proficient with Microsoft Office applications, including Outlook, Word, Teams, PowerPoint, and Excel.
- Event coordination experience is a plus.
