Assist Operations Director and other department managers' requirements for day-to-day operations support of their respective departments within the division. Provide administrative and clerical services in a competent, proactive, and professional manner.
Qualifications
- Minimum 1-3 years of operations / logistics / warehouse / conference support
- Proficient and fluent in written and spoken English.
- Proficient in Microsoft Office software is essential (MSWord, Excel PowerPoint, Outlook).
- The role requires the ability to manage several tasks simultaneously, for multiple managers, while meeting deadlines.
- Excellent organizational, analytical, interpersonal and communication skills (written and oral).
- Ability to successfully balance supporting multiple managers.
- Proactive approach and positive attitude are essential.
- Ability to effectively interact with all levels in the organization.
- Must be self-motivated and efficient in completing assigned tasks/projects accurately and on time.
Job Responsibilities
Shipping Assistance
- Arrange and coordinate both inbound and outbound shipments, ensuring efficient and cost-effective transport.
- Create and manage shipping documentation and labels.
- Liaise with shipping agencies to ensure timely and accurate delivery.
Conference and Show Assistance
- Assist in setting up exhibition booths and related logistics.
- Assist in purchasing and organizing gifts and giveaways, product samples for events.
Order Production Support
- Collaborate with sales and production departments to prioritize orders.
- Prepare necessary production documents.
- Keep supervisors updated on order status and potential issues.
Warehouse Coordination
- Liaise with other third-party warehouse contractors to dispatch orders and manage logistics.
- Arrange inbound and outbound shipments, ensuring efficient and cost-effective transport.
- Timely reconcile inventory and billing with third-party warehouses
Inventory Management
- Assist in managing inventory levels to ensure availability and operational efficiency.
- Conduct regular stock checks and update inventory records as needed.
Purchasing Assistance
- Send out inquiries to potential vendors and negotiate terms.
- Work closely with vendors on purchases, including placing orders and managing invoices.
- Submit payment requests in a timely manner to ensure smooth financial operations.
Office Administration
- Manage day-to-day administrative tasks to ensure the smooth operation of the office.
- Support various departments with clerical duties as needed.
Additional Duties
- Perform other job-related duties as assigned by the supervisor to support departmental goals.
- Organizing and archiving paper and electronic files.
Job Type: Full-time
Pay: $18.00 - $26.00 per hour
Expected hours: 40 per week
