Who We Are:
Chicago Therapy Group (CTG) is a mid-sized group mental health practice with locations in Evanston, IL and Chicago, IL. CTG provides employment to anywhere between 15 and 20 clinicians who provide services to around 450 clients.
Job Overview:
We are a mid-sized psychotherapy practice seeking an organized, detail-oriented individual to join our team as an Administrative Assistant. This position will primarily focus on billing, credentialing, and intake coordination and is a 1099 contract role.
A successful candidate is someone who is able to manage their time effectively, is self-motivated, collaborates well with others, and works with integrity as they will be responsible for managing administrative tasks that relate to clients' personal health information. Qualified candidates should be receptive to feedback, willing to account for their time and proactive in asking questions about anything that may be new or challenging.
Qualified candidates should also have excellent written and verbal communication skills as they will be responsible for sending out emails to the practice and its clients. We ask that the candidate wear professional attire for remote video meetings. This candidate will be responsible for picking up mail once per week at our Evanston location and scanning its contents. All other work will be remote.
This role reports to the Practice Owner and Director of Operations.
Duties:
- Submitting insurance claims with accuracy and efficiency
- Following up on insurance claims to ensure timely payment
- Handling daily billing tasks, including client billing
- Assisting with insurance credentialing process for new clinicians
- Coordinating intake processes for new clients
- Providing administrative support to the team as needed via email or video-call
- Maintaining accurate records of activities in client accounts using internal note system
- Communicating effectively with the practice's therapists and clients
- Navigating usage of an EHR (electronic health record) system
- Working closely with practice owner and the practice's Director of Operations
- Working with practice's clinical staff
- Picking up mail at Evanston location once a week and scanning its contents
- Willing to learn the nuances of mental health care (which is distinct from many other medical practices)
Experience:
- Proven experience in administrative roles
- Excellent organizational and time management skills
- Strong attention to detail
- Proficiency in Microsoft Office Suite and Google Workspace Experience in healthcare setting and familiarity with healthcare billing
- Experience with insurance claim submission and billing processes
- Knowledge of insurance credentialing procedures is a plus
- Ability to work independently in a remote work environment
- Excellent communication skills, both written and verbal
- High school diploma or equivalent; additional qualification as an Administrative assistant or Secretary is be a plus
