Child Care Administrative Assistant
Job Summary
The position will assist in spearheading development efforts, program development, staffing, and supervision in partnership with the Executive Director, School-Age Director, and Early Childhood Director.
Development efforts include assisting the Executive Director with fundraising events, community outreach, and social gatherings.
Program assistance includes assisting the School-Age and Early Childhood Directors with program staff and children participating in Willard Community Center programs with the management.
This position requires a minimum of 40 hours per week. Hours may be irregular at times.
Minimum Qualifications
Must hold a valid driver’s license
Must pass Nebraska Central Registry Check
Must pass Nebraska State Patrol fingerprinting check
At least a high school degree and three years of experience in a childcare/school setting.
Must be able to lift 30 pounds.
Primary Duties and Responsibilities
- Models professional work ethic by reporting to work on time and maintaining consistent and dependable attendance.
- Receiving visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately.
- Answering, screening, and forwarding incoming phone calls.
- Maintain building security by following safety procedures and controlling access to the building.
- Perform clerical duties such as filing, photocopying, transcribing, etc.
- Responsible for collecting program service fees collected at the front desk and writing the appropriate receipt.
- Tracks statistical information throughout the year as needed for grants.
- Responsible for all assisting in marketing for Willard programs, including updating social media, Willard’s website, flyers, newsletters, and any communication with the public.
- Assists in maintaining childcare licensing requirements.
- Assist in the development and maintenance of written policies directing the operation of the Willard programs. These are to include daily programs, employment practices, employee handbook, and other operational practices, procedures, or concerns.
- Assist in the development of program budgets.
- Practice fiscal responsibility.
- Regularly attend and be active in the professional organizations that relate to programs at Willard.
- Maintain staff/child ratios at sites; understand that you are a working supervisor with the ability to substitute between the working hours of 6:30 am to 6:00 pm for any Willard program.
- Assist in guiding and supervising staff about communicating sensitive subject matter to parents.
- Assists with fundraising efforts and community events as needed.
- Conduct professional and informative parent, volunteer, and donor tours.
- To sustain maximum enrollment, maintain positive and professional relationships with all program participants.
- Treats people with dignity and respect and acknowledges human diversity.

- Proficiency with Microsoft Office, Google Drive, and hands-on experience with office equipment (fax machines and printers).
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Ability to work as part of a team while retaining individual accountability.
- Self-motivation and the ability to function independently are critical to this role.
- Interpersonal skills, including conflict resolution, consensus building, and intuitive listening.
$100 hiring bonus after 90 days

Pay: $35,000.00 - $37,500.00 per year
