We are looking to hire a detail-oriented and motivated candidate who works well in a fast-paced setting. Perform daily accounting and clerical duties to support our finance team's daily operations. Be able to work well independently and get along well with others.
PRIMARY RESPONSIBILITIES WILL INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:
BOOKKEEPER:
· Manage all accounting transactions.
· Enter financial transactions in QuickBooks, maintain detailed ledger records, and general accounting.
· Utilize GAAP principles in financial transactions.
· Tracking transactions and reconciling deposits and credit card statements.
· Support accounts receivable functions and collections and conduct account analysis.
· Research and resolve invoice and receivable discrepancies and issues.
· Maintain and balance Inter-company accounts by verifying, allocating, posting, reconciling transactions, and resolving discrepancies
· Conduct bank and credit card reconciliations and ensure accuracy in financial transactions.
· Perform account reconciliations, including balance sheet reconciliation.
· Maintain accurate records for tax filings and account analysis.
· Conduct general ledger reconciliation and journal entries.
· Conduct monthly budgeting and forecasting.
· Mastering heavy data entry in a computer and maintaining a database with high accuracy and efficiency.
· Create, maintain forms, and prepare reports in spreadsheets for various reporting purposes.
· Respond to emails and phone calls in a professional and timely manner.
· Prepare weekly, monthly, quarterly, and yearly reports.
· Assist with month-end and year-end closing procedures.
· Developing and maintaining a comprehensive financial filing system for our company.
· Assist with other accounting projects in the office.
HR ADMINISTRATION:
· Handle all H.R. benefit and administrative tasks, including but not limited to recruiting, screening, setting up an interview, Employment verifications, pre-employment screening, background checks, and drug screens.
· Assist in administrating employee benefits and maintaining employee benefit filing systems.
· Ensure benefits changes are entered appropriately in HRIS, resolve administrative problems with the carrier, and audit for accuracy and compliance.
· Conduct and maintain employment records (evaluation, discipline, review, promotions, terminations, exit interviews, etc..)
· Maintain employee sick leave and P.T.O. records and employee files.
· Maintaining H.R. files and strict confidentiality of client, company, and personnel information.
· Assist the Director and management in obtaining statistics and information in the annual renewal process of any employee group plan that benefits the company.
· Serve as a liaison for employees. Handle and resolve employee inquiries.
· Conducting, investigating, and resolving complex employee relations issues, including performance, conflict, and assessing risk.
· As the first point of contact for employees to resolve general HR questions, including benefits-related questions and issues, to ensure effective use of plans and positive employee relations.
· Responsible for reconciliation and coordination of payment of Benefit-related invoices monthly.
· Review and respond to unemployment claims with appropriate documentation and hearing.
Prepare memos, letters, emails, reports, and meetings for the company and maintain employees' phone directory.
Performs other duties as assigned by management. Candidate must be flexible and open to performing multiple tasks as needed.
REQUIREMENTS:
· Association Degree in Accounting.
· At least 4+ years of accounting and H.R. experience in the office environment.
· Knowledge of bookkeeping and a strong understanding of GAAP Accounting Procedures and Practices for financial reporting.
· Ability to work in financial accounts and statements.
· Proficiency in technical accounting principles.
· Ability to perform bank and credit card reconciliations accurately.
· Proficient in account reconciliation processes.
· Ability to perform account analysis and tax-related tasks.
· Competence in general ledger reconciliation and journal entries.
· Advanced and proficient in QuickBooks Desktop.
· Proficient and extensive experience in Excel.
· ExExperiencen inventory is a plus.
· Must know how to type at a speed of 40+ words per minute.
· Fast and accurate data entry skills.
· Effective and excellent verbal and written communication skills.
· Ability to interface well and communicate effectively with employees at all levels.
· Excellent problem-solving/judgment skills.
· Strong organizational skills with the Ability to prioritize tasks effectively.
· Ability to work under stress effectively and efficiently with minimal supervision.
