Summary/Objective
Maintain medical records for 3 M.I.N.D. locations, comply with Electronic Medical Records requirements.
Medical records technicians maintain and organize medical records and patients’ health information data. They ensure its quality, accuracy, accessibility, and security in both paper and electronic systems format.
Essential Functions
Scan, route and file medical records, patient charts and reports as appropriate. Collect and distribute incoming faxes and reports on a daily basis. Collects mail from switchboard area and process requests. Maintains records of all patients of M.I.N.D.
Performs, assigned clerical duties which may include filing, typing and scanning. Reviews scheduled patients’ charts to ensure completeness, assembles records into standard order, and verifies documentation and testing results are included. This position may cause periods of stress and attendance is an essential function.
Assist in any reproduction of medical records as needed. Process out bound mail which includes operating postage machine. Sends a fee letter (invoice) in response to requests and follows up on open balances. Payment is forward to accounting for processing.
Respond to insurance companies and billing services for medical records.
Compiles, verifies, types, and files medical records of other health care facility.
Locates, prints from electronic medical records and delivers to requesting party after obtaining medical release form.
Operates computer to enter and retrieve data and type correspondence and reports.
Work Environment
Medical facility. Must be able to lift, carry and transport files as needed.
Physical Demands
This position requires the ability to lift files (5 – 15 lbs.), open filing cabinets, bend, walk, sit or stand as necessary.
Position Type/Expected Hours of Work
This is a full-time and/or part time position. Days are Monday through Friday and hours of work have some flexibility on schedule. Due to the nature of the work this position is not eligible for tele-commuting.

Required Education and Experience
Health information technicians typically need a postsecondary certificate to enter the occupation, may require certification, although they may have an associate’s degree.
