Administrative Support Coordinator

PrideStaff is recruiting for an Administrative Support Coordinator position for a well-established senior-living-community organization in Bend. The ideal candidate will provide administrative and logistical support, ensuring management teams have the resources and information needed to operate efficiently. They will lead the organization and maintenance of files and databases confidentially. The ideal candidate will have strong leadership abilities, excellent organizational skills, and a proven track record of successfully delivering projects.
This is a long-term opportunity with a competitive benefits package. Starting pay is $19/hr.
MINIMUM QUALIFICATIONS AND REQUIREMENTS:
- Bachelor’s degree in Business Administration, Project Management, or a related field.
- Proven experience as an administrative assistant or project coordinator.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
- Knowledge of project management software (e.g., BaseCamp, MS Project) is a plus.
- Ability to work independently and as part of a team.
- High attention to detail and problem-solving skills.
- Ability to communicate effectively and politely in English, both verbally and in writing.
- Able to work under time constraints and meet departmental deadlines.
- Able to manage a large volume of material and meet company guidelines.
- Ability to handle highly sensitive data and maintain the utmost confidentiality, instilling trust and integrity within the organization.
- Ability to follow and adhere to policies, procedures, and standards.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assist in implementing projects within the organization.
- Coordinate and schedule meetings, prepare meeting agendas.
- Maintain and update project documentation, plans, and reports.
- Liaise with different departments to ensure project objectives and timelines are met.
- Handle administrative requests and queries from senior managers.
- Manage project-related communication, including emails, phone calls, and other correspondence. • Provide support in managing project budgets and expenditures.
- Assist in the preparation of regularly scheduled reports. • Contribute to the improvement of project management processes and tools. • Audit Office 365 Users & Role Groups.
- Place and distribute bi-weekly office supply orders. • Maintain the kitchen on a daily basis.
- Audit and maintain TELS users and task management.
- Maintain up-to-date information regarding unit remodels.
OTHER DUTIES AND RESPONSIBILITIES:
- Perform all assigned work.
- Serve as a role model for all employees by displaying a responsible, cooperative, and positive attitude.
- Represent the company in a professional, courteous, and friendly manner.
