Office Assistant Job Description
Overview:
Pardue Plumbing, a Caddo Mills based plumbing company, is seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will play a crucial role in supporting office operations and ensuring smooth administrative processes.
JOB DESCRIPTION of OFFICE ASSISTANT/SCHEDULER
This person shall be responsible for the following:
- Check & respond to texts from multiple phones/companies
- Check & respond to emails throughout the day
- Answer incoming phone calls on multiple phones/companies
- SCHEDULE SERVICE CALLS for Pardue Plumbing
o Communicate with customers to resolve problems/requests for services
o Invoice as needed (technician should be collecting customer pay service calls on site)
* Make sure invoices are entered in quickbooks
o Accept payments through credit card system
§ Receive payments in quickbooks
o Follow up on overdue payments
- NEW CONSTRUCTION for Pardue Plumbing
o Send new build questionnaire to GC/homeowner
o Provide bid for project based on plans and new build questionnaire
o Create pay schedule
o Once project is accepted; create job in KickServ
o Speak with new residential construction GC/supervisor to schedule
· Be sure all change orders are added to the pay schedule
o Communicate with superintendent as well as subs to schedule scope of work
*Order Material
o Once each phase is complete; confirm the bills received from subcontractors are correct; upload pictures received and match them to the bills received
o Once each phase is complete; invoice according to the pay schedule
OTHER DUTIES OF OFFICE ASSISTANT/SCHEDULER
o Specifically to enter plumbing invoices/bills/checks in QuickBooks
- Schedule reservations in scheduling system (Staylist) for rv guests
o Manage monthly statements
o Receive payments as needed
o Read electrical meters at CRVP
Experience:
- Proven experience in data entry and administrative tasks.
- Familiarity with front desk operations is a plus.
- Previous experience in an office setting is advantageous.
- Strong proofreading skills with attention to detail.
- Knowledge of office management procedures and practices.
- Ability to computerize tasks efficiently.
- Experience in transcribing information accurately.
- Exposure to event planning or coordination is beneficial.
- Proficiency in providing administrative support.
- Demonstrated ability to coordinate projects effectively.
