Special Projects Administrator
OneSource is a rapidly growing leader world-class technology services and solutions company. To build on the company’s growth and momentum, we’re searching for a highly qualified Special Projects Administrator to secure onboarding of third-party field vendors for sensitive, high-visibility client projects. The Special Projects Administrator will support internal cross-functional teams and clients by administering and driving the multi-stage clearance process for selected field vendors. This is an administrative support role focused on the day-to-day communication and tasks required to ensure that OneSource maintains a network of compliant and qualified resources to support our clients and project teams, ensuring alignment with the company's overall vision and values.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Effectively communicate the onboarding process, requirements, timelines and expectations.

Act as primary point of contact for participating field vendors and client contacts, establishing rapport and maintaining consistent communication to drive results.

Collaborate internally with sales, operations and vendor management to efficiently onboard qualified field partners in the timeliest manner.

Manage compliance through the collection and logging required completed forms, documents, certifications, test results, etc.

Update and maintain record keeping system(s) to include documentation, status, progress, and outstanding items.

Run and disseminate bi-monthly reports on overall program and resource status.

Assign and/or coordinate required training for clearance.

Develop and implement execution and maintenance schedules to track and act on recertification requirements.

General administrative and special projects support tasks as assigned by manager.
REQUIRED SKILLS & QUALIFICATIONS:

High school diploma or equivalent

Proven administrative experience (2+ years)

Superb written and verbal communication skills

Strong attention to detail

Exceptional time-management skills and multitasking ability

Experience working with sensitive information

Aptitude for learning new processes, software and systems

Proficiency in Microsoft Office, Google Workspace or a similar business suite for communication and collaboration
PREFERRED SKILLS & QUALIFICATIONS:

College degree in (or pursing) Business Administration, Communications, or equivalent

Previous success in office project management

Telecom/IT, Government, and/or Health & Safety industry experience, a plus

Experience in managing sensitive or confidential record keeping, a plus
