General:
The Sales Event Coordinator is a key part of the team and drives the highest success in sales, coordination and management for events of all sizes. The Sales Event Coordinator’s key to success is excellent attention to detail, strong communication skills, ability to multi-task and have a flexible schedule. This position is responsible for selling, coordinating and executing top service for clients attending Xtreme Xperience’s events in multiple locations across the country. The Sales Event Coordinator supports the Sales team through prompt communication with clients, proper documentation, and coordination in order to maximize sales potential. This candidate must be an energetic and enthusiastic individual, who is able to assist the Sales team in establishing new accounts and work closely with the team to ensure that their experience runs smoothly. This candidate must be detail-oriented while having the ability to pivot and make adjustments while building a lasting business relationship with our customers. This position requires a person who strives to assist in the growth of a rapidly expanding company.
Expectations:
- Responsible for typing all correspondence and reports in a timely and accurate manner
- Responsible for handling the distribution of all incoming and outgoing paperwork promptly and efficiently
- Responsible for providing additional assistance to staff and customers as needed
- Responsible for assisting other departments as needed
- Responsible for coordination of all sale group-related business including but not limited to issuing event contracts, menu planning, and coordinating audio/visual equipment promptly
- Responsible for responding to all clients within 24 hours of contact
- Responsible for booking accommodations for the Sales team
- Coordinate and finalize function space setup, décor, food and beverage menus
- Upsell food and beverage menus and additional functions
- Promote awareness of brand image internally and externally.
- Gather materials and assemble information packages for clients.
- Use sales techniques that maximize revenue while maintaining existing customer loyalty to Xtreme Xperience.
- Answer client questions about facilities and services
- Serve as a point of contact for clients and communicate with them by phone and email to respond to questions and requests.
- Service as a point of contact for clients when onsite at the racetrack and ensure successful customer outings
Qualifications:
- At least 2 years experience in Event Coordination
- Ability to lift 50 lb+ consistently
- Operationally and sales-savvy industry professional with demonstrated leadership in selling, managing, and executing events and assisting in the overall guest experience
- Strong organization, time management, and communication skills are essential for success in this role, including email communication
- Ability to work independently with little direct supervision
- Ability to communicate effectively (verbal and written) and establish credibility with clients, guests, management, senior management, and support staff
- Ability to respond effectively to continuously changing demands
- Effective use of discretion to problem-solve in a fast-paced environment

The Sales Event Coordinator will be required to travel to events and assist the team in various roles where needed—generally on Thursdays and Fridays. At the track, you are a strong team player who helps your co-workers set up and break down event equipment. The Sales Coordinator will be expected to attend at least 30 XX events throughout the calendar year, in conjunction with a 40-hour office workweek. Time off during an event may be permitted with appropriate planning and sourcing of a substitute (XX team members are available to substitute for planned vacations or emergency time-off requests).
