The Administrative Assistant assists and supports the day-to-day program operations by providing administrative and direct support to after-school, academic, enrichment activities during the academic year. This includes managing membership services and external data as needed. During seasonal camps (summer, and spring breaks) the office specialist transitions to camp assistant and help with various camp duties.

Education Assistance
ESSENTIAL RESPONSIBILITIES
-
Serve as front line staff and receptionist during peak program hours while providing supervision of the main lobby.
-
Responsible for office coordination including data entry, filing, supply orders, program calendar maintenance.
-
Provide excellent customer service/communication to families in need of information.
-
Ensure sign in and out procedures for participants, public, visitors, consultants, and staff.
-
Collect membership enrollments and enter into ETO.
-
Complete data entry into ETO as required on a weekly basis.
-
Ensure each participant with a current membership is listed in the enrollment.
-
Work with coordinators to complete academic enrichment and athletic tracking system.
-
Manage and maintain files on participants, volunteers, community service hours.
-
Assist with facilitating afterschool programming, meetings, and special events.
-
Assist with facilitation and supervision during camp seasons.
-
Attend required meetings and trainings.
-
Approve and submit timecard at the end of each pay period.

Ensure compliance with LAYC and DPR mandatory clearances, tests, and training.

Other duties as assigned.
EDUCATION & EXPERIENCE REQUIREMENTS

Associate degree (preferred), High school Diploma or equivalent required.
-
0-2 years of work experience in the required or related field, each year of relevant work experience may be substituted for each year of education required (internships are acceptable).
SKILLS & QUALIFICATIONS

Strong attention to detail and excellent problem solving.

Ability to work in a busy environment.

Proficiency in Microsoft Word, Excel, and other databases as needed.

The willingness and desire to work independently, as well as collaboratively, and to take on additional responsibilities.

Available to work occasional evenings and weekends.

Complete criminal and child abuse/neglect clearances.

PHYSICAL REQUIREMENTS
This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 10 lbs. May require the ability to travel locally and/or regionally.
