POSITION OVERVIEW:
The Office Manager will be a key member of the IT team, responsible for managing contracts, overseeing training assignments, and maintaining essential data related to costs and compliance. This role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with IT leadership and team members.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The following and other duties may be assigned as necessary:

Maintain a comprehensive record of all IT contracts currently in effect. This includes details such as contract terms, vendors, renewal dates, and associated costs

Coordinate contract renewals, ensuring timely execution and compliance. Collaborate with vendors and internal stakeholders to negotiate favorable terms when necessary

Work closely with IT leadership to evaluate existing contracts. Identify opportunities to optimize costs, adjust services, or scale contracts based on business needs

Develop and implement a streamlined process for evaluating and approving new contracts within the IT department. Assess vendor proposals, align with business objectives, and recommend contract acceptance or modifications

Maintain accurate records of contract and other costs, including monthly expenses, annual commitments, and any variations. Provide data for budgeting, forecasting, and financial planning

Assign relevant training courses to IT team members based on their roles, responsibilities, and skill development needs. Collaborate with IT leadership to align training with department goals

Monitor training progress and ensure timely completion by team members. Generate reports on training status, highlighting successful completions, and identifying individuals who need additional support

Facilitate training for new hires, ensuring they receive essential training modules promptly. Help them catch up with the rest of the team in terms of knowledge and skills

Foster positive relationships with IT vendors, ensuring effective communication and timely responses

Continuously evaluate and enhance contract management, training, and other processes. Identify areas for efficiency gains and propose improvements.

Support employee engagement efforts within the IT team. Organize team-building activities, recognition programs, and morale-boosting events.

Provide administrative assistance to all levels of the IT leadership team.

High School diploma or equivalent required

Three (3) years of proven office management, administrative, or assistant experience preferred

SUPERVISORY RESPONSIBILITIES
This position does not have any direct supervisory responsibility.

Member must be able to qualify for licenses and permits required by federal, state, and local regulations.
LANGUAGE SKILLS
Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in English may also be required.
REASONING ABILITY
Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
