Summary
Responsible for the overall property management duties for the assigned portfolio of Realterm logistics and on-airport properties within the West region. Provide assistance to the Regional Senior Property Manager and Property Manager in El Segundo, CA with all operations in achieving property financial and operational objectives of the West Property Management region.
Essential Duties and Responsibilities
Property Operations
- Ensure properties are maintained in good operational condition.
- Work with site management team to ensure systems are properly maintained and tenant’s needs are addressed in a timely manner.
- Oversee property related service contracts and building staff (landscaping, janitorial, site management).
- Responsible for assuring that capital projects are completed on time and within budget in cooperation with the facilities team, construction group and/or third parties.
- Maximize the value of the assigned properties by finding methods to reduce costs and increase efficiencies of building systems and services.
- Responsible for assessing, developing and implementing short term, intermediate and long- term strategies which enhance value.
- Responsible for ensuring that property specific compliance requirements are completed including requirements of ground lessors, third party lenders and bondholders, as well as any other investor requirements.
- Participate in special projects within the assigned portfolio that may include evaluation (due diligence) of properties for acquisitions dispositions among other recurring and non-recurring events.
Tenant Relations
- Act as primary point of contact for tenants from lease execution to lease expiration.
- Provide new tenant orientation and ongoing enforcement of lease terms.
- Establish appropriate communication within tenant organizations and within Realterm to address administrative, leasing, and financial matters.
- Manage tenant interface platform for assigned portfolio.
- Participate in Tenant Satisfaction Assessment process and subsequent action planning.
Financial
- Prepare property business plan/budget and work with senior management to reforecast R&M and capital expenses as necessary.
- Provide monthly reporting regarding building operations and financial activity.
- Assist with the completion of annual property expense estimate and reconciliation process for assigned properties.
- Ensure utilities are billed back to the tenants as required.
- Responsible for monitoring and managing AR/AP for the assigned properties.
- Support department on accounts payable research and follow up
- Prepare and track utility information (i.e. meter and account #s) and billings to be invoiced back to tenants.
- Perform utility transfer process relating to acquisitions/dispositions and tenant activity.
- Assist in utility benchmarking including but not limited to invoice, data, and/or LOA collection from tenants
- Assist in preparation of owner reports, variance analyses and operating budgets.
Leasing and Marketing
- Keep involved with community affairs and business conditions that impact properties.
- Assist with property tours when requested.
- Assist leasing and development with lease negotiations, property expense analysis and operational implications.
- Monitor and maintain vacant spaces for “show ready” condition.
- Participate in airport and industrial real estate associations and events.
Risk Management
- Ensure tenant and emergency contact lists are current for assigned properties.
- Implement emergency response plan at assigned properties.
- Identify and address any FLS issues.
- Ensure all environmental permits and inspections are up to date for assigned properties.
Administrative
- Competitively bid contracts for property services.
- Ensure documents are properly maintained on the Shared Drive.
- Ensure all tenant and vendor COIs are up to date for assigned properties.
- Complete property inspections and required reports.
- Complete tenant move-in and move-out documentation.
- Coordinate tenant related services with site management team.

Qualifications
- Computer proficiency with Microsoft Office. Yardi experience a plus.
- Requires strong verbal and written communication skills and effective organizational and problem-solving skills. Self-initiator with the ability to problem solve. Also requires the ability to maintain an approachable, friendly demeanor and work with competing priorities and demands.
- Must also be able to develop effective working relationships with staff, owners, tenants and vendors.
- Must be organized and task oriented, able to work in a fast-paced, team-oriented environment with multiple deadlines, and adapt readily to changing priorities
- Ability to draft and write detailed notes, provide communications to tenants and vendors, and help prepare reports and presentations in a clear and concise manner
Education and/or Experience
- Minimum 2 to 3 years’ experience assisting with real estate/property management personnel and additional administrative support responsibilities.
- Bachelor’s degree or equivalent combination of education, training and/or additional experience is required.
Working Environment
The position will work in a general office setting with 10% travel based on organizational and business needs.
