We are a mental health and substance abuse counseling outpatient private practice. We specialize in contracted work treating recently released Federal prisoners to assist in their reintegration back into the community.
We are actively seeking an Office Assistant/Administrator for our San Diego office to coordinate client intake, and assist with paperwork, billing, and filing. The ideal candidate will have flexible availability to work for a total of 40 hours per week.
Essential Duties & Responsibilities
· Provide general office support including reception. Answer, screen, and direct phone calls to counselors.
· Receive mail, documents, packages, and deliver or distribute items.
· Perform SharePoint filing and recordkeeping of all patient documentation.
· Perform maintenance and daily update of the patient case load.
· Responsible for scheduling new patients, including confirmation of appointments via email and phone calls.
· Assist counselors with paperwork, reporting and filing.
· Coordinate meetings and make calls.
· Coordinate office and administrative needs, including keeping track of and ordering new supplies, materials, tools, and equipment.
· Assist with onboarding new hires, including desk and IT setup/laptop configuration.
· Maintain SharePoint and Zoom office page and documents.
· Oversee counselor assignments and patient management.
Required Qualifications
· High School graduate or equivalent with four years related experience; or college degree and 6 months related experience; or equivalent combination of education and experience.
· Computer literacy utilizing Google Calendars, and Microsoft’s Outlook, Word, Excel, and SharePoint. Excellent knowledge of Adobe PDF to generate patient reports and to complete monthly billing, filing, and paperwork.
· Able to sit at a computer terminal for extended period of time.
· Ability to analyze situations, prioritizes, and develops solutions and makes recommendations.
· Ability to work with minimal supervision.
· Ability to use good judgment and work independently at times under the pressure of deadlines.
· Ability to access situations prioritizes workload, develop solutions and make recommendations.
· Excellent customer service and communication/interpersonal skills, both over the telephone and directly.
· Proven ability to deal with a wide variety of individuals.
· Ability to deal sensitively and effectively with patients.
· Excellent organizational and problem-solving skills.
· Strong writing skills to include the ability to compose, edit, and proof a wide variety of documents.
· Demonstrated administrative/office coordination skills.
Salary rate is based on qualifications, education, and experience.

Pay: $17.00 - $30.00 per hour
