We are seeking a highly organized and detail-oriented Executive Administrative Assistant to join our remote team. The ideal candidate will have expertise in client/care coordination, insurance processes, email management, scheduling, and billing preparation. HIPAA certification is preferred.
This is a 30-hour per week position; the ideal candidate can work 30 dedicated hours during business hours.

Key Responsibilities:
Administrative Support:
- Provide executive-level administrative support to the practice owner and team of speech therapists.
- Manage and maintain calendars, schedule appointments, and coordinate meetings.
- Handle incoming and outgoing communications, including emails and phone calls.
Insurance Coordination:
- Understand and manage insurance verification and authorizations.
- Communicate with insurance companies and patients to support ongoing services.
Patient Relations:
- Handle patient intake and registration, ensuring all paperwork is completed accurately.
- Schedule patient appointments and manage the office calendar.
- Address patient concerns and provide information about services, etc.
Record Keeping:
- Maintain confidential patient records and ensure compliance with HIPAA regulations.
- Update and manage electronic health records (EHR) systems.
Qualifications:
- Associate’s or bachelor’s degree required.
- Minimum of 2 years of experience in an administrative role, preferably in a healthcare setting.
- Knowledge of insurance processes and terminology is essential.
