Position Title: Secretary Pupil Services and Staff Support
Location: Gateway Administrative Offices
Reports To: Special Education Administration (Director of Pupil Services, Supervisor of Special Education and Lead School Psychologist)
Term: 12 month, Teamsters Local 205, (class 7), (258 day)
Minimum Qualifications:
● Associate Degree in Business or related field, Bachelor’s Degree preferred
● Two to three years’ experience in public education, child accounting experience preferred, experience working within the specific field of special education is welcomed
● Demonstrated ability to anticipate, analyze and interpret reports, surveys and issues that might impact the operations and plans of the District
● Demonstrate ability to research, conduct and evaluate District’s processes and procedures on a continuing basis and adhere to timelines/guidelines as it relates to special education and Chapter 14
● Demonstrate ability to set and follow through with objectives and goals
● Demonstrate proficiency in all aspects of Microsoft Office, Google Suite and District Based Technology Platforms
● Must be well organized and have above-average written and verbal communication skills
● Ability to effectively and courteously work with associates and the general public and adhere to confidentiality
● Ability to work independently and be self motivated
● Clearances--Current Child Abuse (Act 151), FBI (Act 114) and Criminal Record (Act 34) required
● Such alternatives to the above qualifications as the Board may find appropriate and acceptable
Goals:
The goal is to support the Director of Pupil Services, Special Education Supervisor, and the Lead
Psychologist by ensuring compliance with special education procedures and policies,
maintaining accurate records, and data collection for paraprofessional requirements.
Essential Duties and Responsibility:
● Maintain accurate special education rosters within IEP Writer and/or other data management systems, along with proper storage, retrieval, and destruction of records according to school board policy
● Supports and monitors paraprofessional development hours and ACCESS logs
● Oversees and assists with all aspects related to student enrollments for special education, purposes which may include, but not limited to: ensuring appropriate coding and communication as it relates to special education needs.
● Assists in the coordination and proper records for students who elect to receive Home Schooling
● Assists the appropriate administrator(s) in the creation, formulation and submission of District policy and State Regulations required for annual reporting (for example; Penn Data, Approved Private Placement, Leader Services
● Assists Administrators with special projects and initiatives
● Performs duties with awareness of all District's requirements and policies
● Provides clerical support for the Department of Pupil Services
● Supports and facilitates the budget process for the Department of Pupil Services
● Collaboration with school buildings, departments and outside agencies (e.g. nursing, related services) to ensure programming for all students
● Communication with other school districts regarding newly enrolled students to ensure appropriate records are obtained and accurate
● And other duties as determined by the Department of Pupil Services
● Individuals filling this role will be responsible for covering the front desk at administration on a rotating basis, as currently in practice.

Computer Skills:
Demonstrate proficiency with PC/Mac-based personal computers, PDA (handheld) and programs such as Windows, Microsoft Office, and the most up-to-date operating systems pertaining to spreadsheets, database, and presentation programs.
Reasoning Ability:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with multiple problems.
