Position Summary
The Accounts Receivable Specialist is responsible for creating/providing invoices, including working with operations team on billing time and material, and collecting payments for the company.
Must have experience with American Institute of Architect (AIA) billing or similar type progress billing
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Maintain bookkeeping databases, spreadsheets, and updating information as needed.
- Create monthly service invoices, including billing time and material.
- Create monthly invoices for re-billable consumables.
- Take a lead role in the collection of accounts receivables.
- Maintain and update accurate information for contract abstract database, in a timely fashion.
- Participate in management meetings as required.
- Support team members and keep controller updated on on-going matters.
- Communicating with clients and customers to request and arrange payments.
- Maintain and create spreadsheets in Microsoft Excel
- Recording and tracking payments in databases including deposits, and credit card processing.
- Process third-party portal submittals.
- Creating reports and balance sheets that document overall profits and losses.
- Updating client accounts based on payment or contact information.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- High school diploma or equivalent required, plus a minimum 5 years’ experience and/or basic project accounting or costing principals is desired.
- Must have experience in Accounts Receivable billing, AIA construction billing, creating invoices and collections.
- Must have 2 or more years’ experience using Quickbooks.
- Must have strong interpersonal skills to effectively communicate with both internal and external clients.
- Must have the ability to simultaneously handle a large and diverse number of projects, tasks and issues with tact, cooperation, and persistence.
- Able to prioritize work activities based upon financial impact to desired business goals.
- Must demonstrate the ability to perform work independently and demonstrate solid organizational and attention to detail skills.
- Must have experience using and creating spreadsheets in Microsoft Excel.
- Able to influence diverse teams to accomplish tasks/goals.
- Assist with answering the company’s phone and taking messages.
- Other clerical duties and projects as needed.
Job Type: Full-time
Pay: $55,000.00 - $60,000.00 per year
