Destiny Foods, Inc., a franchise owner of Subway is currently looking experienced Office Administrative Assistant to provide administrative support to Chief Operating Officer (COO) and Area Managers in Round Rock, TX.
Duties and Responsibilities: (Support/ Administrative/ Candidate Experience):
- Provide administrative and technical support to the COO and Area Managers but mostly work directly with the COO.
- Responsible for managing all Subway required forms and reporting to DOO on a daily basis.
- Assist Area Managers on inventory as part of Subventory when needed.
- Manage all other responsibilities as assigned by COO including, but not limited to, system set ups for new Area Managers and managing access to Subway and Destiny Foods platforms.
- Ability to handle maintenance requests and order parts as needed including seeking approval for higher price parts and service
- Support and assist COO and Area Managers with training schedules and tracking of completion of all training.
- Track all requests from managers regarding promotions, transfers, evaluations, and pay increases including working directly with office personnel to make changes in system.
- Handle all office supplies and orders and assist the Accounting department with office duties, including, but not limited to, answering phones, greeting employees, vendors, and/or customers.
- Primary point for COO and all managers for all job openings, including searching and scheduling candidates for the COO and managers.
- Manage all job openings for all stores, communicate with CFO on openings, and notify HR Consultant of job posting to including closing and opening requisitions.
- Point of contact for HR Consultant for background checks and communications with COO and Area Managers.
- Point of contact for all candidates including scheduling and communication of interviews for candidates and keeping managers up to date.
- Responsible for sending job offers, onboarding documents, tracking of offers/onboarding, obtaining I9 verification documents including following up on missing documents and processing I9 form.
- May assist, manage, and/or present to new hires as part of the New Hire Onboarding.
- May be responsible for new employees to complete training during orientation.
- Tracking of all training and follow-up as directed by COO
- Track of all performance reviews and provide report to COO and assist with follow-ups
- Coordinate exit process with assistance from HR Consultant.
- Ability to travel to different restaurants at the direction of the COO.
- All other duties as assigned by COO as the candidate obtains more knowledge and experience regarding the operations.
