POSITION: Database Assistant

POSITION SUMMARY
Reporting to the Salesforce Database Administrator, this position will serve as the database assistant for the Salesforce donor database system. The Database Assistant is responsible for a broad range of tasks related to the efficient operation of Salesforce and other databases. This role is primarily data entry focused with updating of donor records, and related information, generating, formatting, printing, and mailing donor acknowledgement letters, providing data in report form to staff. Along with supporting special events, communications, and community engagement. This is a part-time, 60% (24 hours per week), hybrid, hourly, benefitted, non-exempt position.
ESSENTIAL FUNCTIONS OF THE JOB
Donor Database and Development (70%)
- Assist with timely processing of incoming gifts via check, credit card, cash, stock, and gifts in-kind, soft credits, address updates, new donor entry, and identifying duplicates.
- Assist with input and review, daily gift processing data including gifts from third party portals such as Salsa Engage, Benevity, Network for Good, Donor Advised Funds, and other portals to track Electronic Fund Transfers.
- Ensure donor acknowledgement letters and other letters are mailed out in a timely manner, in coordination with Ops Admin Assistant while ensuring accuracy and attention to detail.
- Support the Salesforce Database Administrator with reporting and tracking of restricted funds, campaigns, and endowments.
- Assist with the integrity of the Salesforce database by following all procedures for proper data entry, many of which have been customized to George Mark Children’s House specifications.
- Perform other duties, as requested.
Advancement Team Support (20%)
- Update notes in Salesforce based on CEO, Director of Advancement, and Assistant Director of Advancement donor cultivation meetings.
- Perform other duties, as requested.
Special Event, Communications, and Community Engagement Support (10%)
- Assist with recording corporate sponsorship payments for all special events in Salesforce.
- Assist with maintaining and production of mailing list for events
- Assist in the development and maintenance of mailing lists of donors and donor prospects.
- Support with events, grants, and communication related to Salesforce as needed.
- Perform other duties, as requested.
POSITION REQUIREMENTS
- Must be able to work comfortably in an alternative healthcare setting serving families and children who are seriously ill or dying.
- Demonstrate ability to communicate effectively to GMCH children-patients, families, caregivers, staff, volunteers, and donors using both written and verbal skills.
- Interest in and ability to perform tasks in a culturally sensitive manner without regard to age, ethnicity, religion, national origin, or socioeconomic status.
- This position requires conduct of the highest professional and ethical standards with patients, families, staff, volunteers, and donors.
- Applicant must be highly proficient in spoken and written English.

- Experience with database development and management software.
- Ability to operate a computer with Salesforce software and Microsoft Windows Office Suite software, Excel, Word, Outlook, and Teams.
EDUCATION AND EXPERIENCE
- Minimum Highschool Diploma
- 1-4 years of relevant work experience.
- Experience with data processing in a non-profit setting.
- Experience maintaining CRM data including experience in report writing and analyzing data.
- Experience with Salesforce Non-Profit Success Pack (NPSP) preferred.
- Experience with Donation platforms.
PHYSICAL, MENTAL, AND ENVIRONMENTAL REQUIREMENTS
Working conditions in the interior of GMCH are clean, well-lit, and free from extremes of temperature and humidity. Working conditions in outside areas of GMCH are subject to extreme variations in temperature and humidity, and may include wind and rain. Ability to sit, climb, reach, stand, and bend, have use of both legs and hands, possess the ability to have broad range of wrist/arm motion. Ability to grasp/hold objects and tools. Must be able to lift up to 50 lbs. alone and up to 75 lbs. with assistance. Hearing sufficient to understand conversations, both in person and on the telephone. Pay: $25.00 - $28.00 per hour
