Full Job Description

The purpose of this position is to provide analytical, advisory, coordinating, supervisory and technical functions at Sinton Veterinary Clinic so the medical team can focus on providing high quality veterinary care. Areas of responsibility include veterinary practice administration, operational plans, managing supplies and equipment, financial management, data review to evaluate practice performance, staffing, training of staff, safety and security.

Primary Job Responsibilities

· You are joining our team to ensure that clients and patients have a positive experience when they visit the hospital, to promote a happy thriving staff, and to maintain a healthy growing business.

· Serve as financial manager. Responsible for developing budgets, making recommendations on purchases of equipment and supplies and generating ideas for promoting efficiency and profitability of the practice.

· Consult with CPA as needed to maintain the accounting system, prepare and review analytical reports/financial statements/tax returns, formulate business projections and analyses, as well as to gain investment assistance. Review statements for trends, identify and bring to owner’s attention any financial concerns, and recommend adjustments and corrections.

· Establish an inventory control system. Assure adequate stocks of supplies are available and products are purchased at the best price

· Supervise maintenance and proper storage of equipment to ensure availability, quality, and serviceability. Analyze and monitor usage of supplies and provide necessary guidance in replenishment.

· Rectify financial issues that arise between SVC and its clients. Use a variety of methods in collection of delinquent accounts. Determine when special financial agreements are appropriate; ensure that agreements made are properly followed.

· Plan and organize all veterinary administration and personnel activities. Designate and supervise administrative and paraprofessional roles. Formulate job descriptions, set salaries, prepare payroll. Schedule team members appropriately. Plan and organize management meetings, team meetings, and training sessions monthly or more often as needed.

· Oversee the preparation, maintenance and disposition of veterinary records and correspondence. Establish internal operating procedures for administration of the practice to ensure accuracy and completeness of veterinary records and reports

· Develop and maintain procedures necessary to ensure compliance with regulatory agencies and laws (OSHA, DEA, Department of Labor, IRS, insurance, etc).

· Establish and maintain current publications in-clinic and online

· Initiate and implement new programs; market hospital services.

· Arrange and/or provide for cleaning, security and health and safety and maintenance of the practice.

· Work well with all employees and ensure that your actions support the hospital, the doctors, and the practice philosophy.

· Work with attorneys and other professional consultants and services as needed to promote best industry practices

· Performs other duties as assigned.

Controls Over Work

Works under general supervision of and in collaboration with the practitioners/owner in selecting methods, establishing priorities and making decisions in accordance with practice philosophy. Sound judgement, ability to resolve problems independently, and handle unique situations relating to administration, training, logistics and general management are essential. Work will be reviewed based on accepted veterinary management principles including spot checks and review of records and correspondence.

Skills and Knowledge

· Understanding of the critical balance between administrative and clinic functions in the veterinary care system and the ability to coordinate and control procedures and resources to achieve a balance.

· Ability to apply the specialized principles and practices of veterinary practice management in directing the daily operation of this practice, thereby allowing the practitioners the time necessary to carry out their profession.

· Knowledge of hospital procedures outlined in the employee manual as well as those that are implied (reasonable expectations).

· Demonstrates initiative, self-motivation, and accountability in all responsibilities

· Proficient in business and accounting principles and knowledgeable about veterinary medicine

· Strong computer skills including MS Office (Word, Excel), email.

· Knowledge of principles and processes for providing client and personal services. This includes client needs assessment, meeting quality standards for services, and evaluation of client satisfaction.

· Strong communication, conflict resolution, leadership and motivation skills.

· Demonstrate unbiased judgment when managing people and making decisions

· Proper use of English language including vocabulary, spelling, composition, and grammar

· Critical thinking and problem solving. Use logic and reasoning to identify the strengths and weaknesses of alternative approaches and solutions to problems.

· 3 years of supervisory experience and college degree, or equivalent combination of education, training, and experience which provides required knowledge and proficiency

Job Type: Full-time

Pay: $40,000.00 - $60,000.00 per hour
