EXECUTIVE ASSISTANT
I’m currently building several companies and my personal bandwidth is maxed-out. I need an amazing person to help my businesses grow – we are in the real estate investment business & marketing business.
This is a very unique position, a blend of executive assistant with great people skills, an “implementor” and project manager who can help see critical projects through to completion.

Your start time? As soon as the right person for the position is found.
Here Is the Type of Person I’m Looking For:
FAST & FOCUSED! I am FAST – and I need you to keep up the pace! You work on 3 different things at once because otherwise, you feel like you’re slacking off. You’re fast on your feet and can quickly change direction on a dime if the situation dictates.
You’re willing to take control: I need somebody that gets things done and holds others accountable. I do not want somebody that’s a dictator, However, I want someone that does it in a way that gets things done without you coming off brash. I want somebody who’s like “HEY! This is what I need. Get it to me” and then relentlessly follows up and follow through with that request until it’s done. You will be the overseer of the order!
You have the memory of a bloody ELEPHANT! I work so fast I forget stuff all the time. Appointments. Meetings. Birthdays. You will be my living breathing memory bank, and you’ll need to save my behind at least on a weekly basis. You’ll leverage technology to keep track of everything.
You’re resourceful: You will be delegated items that you have no idea about. You don’t need to KNOW HOW to do it all. While others get stuck, you thrive on being resourceful and make things happen. You’ll research it, or sub out to other virtual assistants who have the talent or expertise needed to get the task at hand done.
You absolutely ADORE what you do. This is important…no clock-watchers! Your focus needs to be on getting the set objectives accomplished!
You can tolerate ME! To be clear – I’m a great guy, nice, generous, positive, but you also have to be able to deal with me not giving much direction, you specifically and assertively let me know you need it. My natural way of being assumes you are reading my mind as to how to get projects done and I focus on working whatever priority at the moment has my attention. If this is you, we’ll get along perfectly. I am authentic, transparent and direct both when you are doing a great job and if things don’t make sense in how or what has or hasn’t happened.
You have truly ASTOUNDING attention to detail. I’m a BIG picture thinker- that’s one factor behind my success. I require someone that has the gift of attention to detail so the big picture gets carried out by the dozens of detailed tasks required to make it happen.
So, you’ll need to fill in the details and be absolutely anal about it. I will give you an idea of what I want done and the outcome and you’ll need to be able to figure out the details of getting it done. And, I need verbal correspondence, emails, schedules, to all be as perfect as possible. If an email or sales page has typos, I’ll be very annoyed, and what’s worse, it could cost us money. So, you must be uber-accurate with details. You also HATE a messy desk or office.
You are a DIAMOND. Diamonds are created under pressure – and you’ll find yourself in plenty of situations where you need to be lighting fast, ultra-accurate, and absolutely on your game, all in a very short space of time.
Multi-tasking and organizational skills. THIS IS A MUST HAVE and a deal-breaker. You have to be able to keep track of things and not let stuff fall through the cracks. You’ll be working on several different projects at once, and I can’t have you sitting there with your head spinning. I need someone who can set priorities and get things done. You are a follow up/ follow through King or Queen– you are the type to leverage systems to ensure next action follow updates are followed up on like clockwork.
Top-notch teamwork, communication skills, and attitude. My team runs like a well-oiled machine because everyone pulls together and has a great attitude. Anyone who isn’t a team player will very quickly find themselves on the outside.
Required Skills
Computer Literate: You MUST be EXTREMLY computer literate…Our entire businesses use a lot of technology…. that means you have to quickly learn software and applications used in our business.
Windows or Mac?: I’m a windows guy. If you’re an Apple person then I would also expect you to know your way around windows and working through issues (since you will be working on windows-based computer and some of our outsourced workers will have windows).
Excellent Written English: You have to able to communicate extremely well in the written word. This means a structure, proper use of nouns and adjectives, etc. Your ability to communicate precisely using the written word is very important.
You LOVE checklists: Your first instinct the moment you have a project in your hand is to create a checklist. You love guidelines and having everything spelled out in detail. You love organization and making sure that everything is exactly where it needs to be.
Pleasing personality – You’ll be interacting with all of team, clients, customers, contractors, and various business partners. So having a pleasing personality is a MUST. That means you’re outgoing and positive when on the phone with people but you’re not a pushover.
Here’s A Small Sample Of What You’ll Be Doing:
New Projects- The scope of these projects all involve problem solving and writing up prioritized actions lists to execute through your own effort and / or through Virtual Assistants or Service Providers. I can not emphasize how important it is that you are a natural problem solver. If problem solving causes you stress, this isn’t for you. On the other hand, if problem solving and executing makes you excited to overcome seemingly impossible obstacles, you’ll love this position on our team.
Source, Evaluate, Onboard, Communicate, & Replace- Virtual Assistants or Freelancers todo the work required on projects. Our projects often require the use of Virtual Assistants from South America / Egypt / Philippines that have excellent skill sets in specific areas like databases, PPC, and related tasks. We also hire them to do routine mind-numbing detailed data collection.
Creating Systems, checklists workflows, and templates: You’ll be figuring out how to do things, and once figured out you’ll be writing procedures and organizing them inside of our goggle / drop-box account and our CRM application. You will ensure that files get name according to our standard protocol and then filed to the proper location in our online storage
Overseeing Existing Systems- Your responsible to make sure our processes on every aspect of the business are working and the people who operate them are doing their functions correctly so that the systems produce the desired result.
Misc Tasks: Handling requests from attorneys, corresponding with staff, coordinating documents, responding to emails. Coordinate special projects, set up online accounts, keep track of tasks and items do, tons of follow up. Setting up new accounts, researching new ideas.
Personal Items: You'll be involved with keeping my personal business organized as it relates to maintenance of my house, plane, boat, trips, appointments, various investments, and other regular aspects of personal organization.
You’ll be helping me with marketing: You will work through virtual assistants and vendors to create lists that we will be marketing to. You’ll create marketing pieces and be deeply involved with launching a lot of new marketing ideas both on and offline. You’ll research new ideas, and figure out new processes.
Helping me with the technology in our business: You’re going to be helping me with a lot of the technology that we use in our businesses. You DON’T need to know how to use all of them BUT if you’re at least familiar with them… or can just say “Don’t worry, give me an hour and I’ll figure it out” then we’re going to work very well together.
You’ll be a part of my business and personal life. I’ll be relying on you to keep things running as I run my businesses, and you’ll quickly become the most important person in my organization. As such trust is HUGE for me.
Does Your Geographic Location Matter?
Yes, This is a 75%+ of the time in office position, remote no more than 25% of the time. Our office is in Virginia Beach so if your commute is too long this position will probably not work for you.
Your Schedule
General business hours but we can be flexible based on needs. This position can be full time or part time. Initially to get up to speed its definitely full time, however in the future if makes sense for all involved for less than full time, we can evaluate moving to a part time schedule. The day does not have to start at 9AM and end at 5PM. But once we establish hours that work, those hours need to be relatively consistent.
Flexibility is key – Just don’t be a clock watcher. Come in, attack the day and get results and work until the job or project at hand is done.
I have no desire to Micromanage you or your schedule. Your performance is judged strictly by your results.
Compensation and Getting Paid
You’ll start with an expected workload of a full-time day.
The pay for this position starts at $1,200 a week but can quickly go up based on results. Bonuses too based on performance and doing outstanding work.
The pay range depends on your experience level and ability to get results
